KEY RESPONSIBILITIES
ADMINISTRATIVE EXCELLENCE
Monitor and report on milestone progress for technology-related projects
Manage complex calendars, coordinating meetings, appointments, and travel arrangements
Screen and prioritize communications, serving as a key point of contact for internal and external stakeholders
Draft, edit, and organize reports, presentations, and correspondence with a high level of detail and professionalism
Provide crossover support for some personal assistance tasks
Manage information flow and maintain confidentiality in all business matters.
PROJECT MANAGEMENT WITH FOCUS ON TECHNOLOGY AND DIGITAL
Coordinate and support wife array of projects, including technology-driven and digital transformation projects from conception through to completion with a focus on design
Leverage technology and tools to optimize business processes and support digital initiatives using design-thinking
Implement and use project management software and ensure effective system adoption across teams
Oversee deployment of new digital tools and workflows, including troubleshooting and solution design
Track key milestones and deliverables for ongoing ventures; create and maintain systems to monitor overall progress
Anticipate needs and proactively identify potential obstacles, developing solutions to keep initiatives on track without constant supervision
Facilitate cross-functional collaboration and information flow to keep teams aligned.
VENDOR MANAGEMENT
Perform vendor and technology provider assessments; support sourcing, evaluation, and selection processes
Negotiate terms and coordinate onboarding of new vendors, ensuring alignment with business requirements
Maintain vendor relationships and performance tracking systems.
MULTI-BUSINESS & INTERNATIONAL COORDINATION
Support seamless operations across business units and corporate partnerships—including the LYR Hospitality Business Unit
Monitor project timelines and communicate updates to stakeholders.
FINANCIAL SUPPORT
Maintain expense reporting systems and assist with budget monitoring
Track and organize expenses as well as basic financial records.
CONFIDENTIALITY & CHANGE MANAGEMENT
Handle sensitive information with discretion and professionalism, especially during periods of change or ambiguity
Support successful adoption of new systems and processes throughout the organization
QUALIFICATIONS
EDUCATION AND EXPERIENCE
Bachelor's Degree in Business Administration, Office Management, Information Systems, or a related field.
3-5 years of executive assistant experience (preferably with digital project components or supporting technology leadership).
Experience in international and multicultural business environment highly valued.
TECHNICAL SKILLS
Advanced proficiency in Google Workspace (Docs, Sheets, Drive, Gmail) and Microsoft Office Suite
Experience with project management platforms (ClickUp, Trello, Asana, Basecamp, etc.) and CRMs
Hands-on experience leveraging AI platforms or automation tools in an office/business context
Familiarity with digital communication, technical vendor platforms, and scheduling systems.
LANGUAGE REQUIREMENTS
Fluent English proficiency for professional communication and documentation
Bilingual capability with ability to translate between Bisaya and Tagalog/Filipino
Strong written and verbal communication in all three languages.
