We're Hiring: Senior Recruitment Coordinator
The Senior Recruitment Coordinator leads a team of two coordinators, overseeing the end-to-end recruitment coordination process. This role is responsible for mentoring the team, ensuring operational efficiency, maintaining strong client relationships, and upholding compliance standards. The Senior Coordinator will receive direct support and guidance from the Recruitment Operations Manager to achieve departmental goals.

What You'll Do
Team Leadership & Mentorship

  • Lead, mentor, and develop a team of Recruitment Coordinators, fostering a collaborative and high-performing team environment.
  • Manage the day-to-day workload of the team, ensuring an equitable and efficient distribution of tasks and client responsibilities.
  • Provide ongoing training, guidance, and support to team members to enhance their skills and knowledge in recruitment and coordination processes.
  • Serve as the first point of escalation for any complex issues, queries, or complaints from the team, clients, or candidates.
  • Monitor team performance, provide constructive feedback, and assist in conducting performance reviews.

Recruitment Coordination & Operational Oversight

  • Oversee the end-to-end recruitment coordination process, ensuring the team effectively sources, screens, and coordinates candidates for interviews.
  • Ensure all weekly and monthly staff rosters are completed accurately and on time, in line with specific client requirements.
  • Guarantee that all interview bookings, site tours, and meet-and-greets are scheduled and communicated clearly via confirmation and follow-up emails.

Client & Candidate Management

  • Oversee the team's management of client requests, including additional staff requirements and shift cancellations.
  • Build and maintain strong, strategic relationships with key clients to support ongoing engagement and satisfaction.
  • Ensure a high-quality candidate experience by overseeing the team's communication and assistance with shift availability, system access, and payroll queries.

Compliance & Process Improvement

  • Uphold and enforce compliance with all agency processes and Australian employment legislation across the team.
  • Oversee the collection and verification of all candidate documentation, including ID, work rights, VEVO checks, and licenses.
  • Champion data integrity by ensuring the team maintains accurate and up-to-date records in the recruitment system (ATS).
  • Proactively identify inefficiencies in current processes and lead the implementation of improvements to enhance productivity and service quality.

Reporting & Administration

  • Oversee and manage the team's administrative tasks, including updating trackers and reports.
  • Work collaboratively with the Recruitment Operations Manager to set, track, and report on team KPIs.
  • Ensure the quality and completeness of candidate profiles and onboarding documents, including induction paperwork.
  • Guarantee that all recruitment-related paperwork is digitally organized, stored, and uploaded correctly.
  • Provide high-level administrative support to recruitment consultants as needed.

What We're Looking For

  • Bachelor's degree in business administration, Human Resources, Psychology, Behavioural Science, or a related field.
  • Min.3 years' experience in recruitment coordination, workforce administration, or a similar role within HR, staffing, or outsourcing.
  • Background across key recruitment activities such as sourcing, screening, compliance checks, and onboarding, a plus.
  • Strong organisational and time management skills with the ability to manage multiple priorities and meet deadlines.
  • Confident communicator, able to coordinate effectively with candidates, staff, and clients — including stakeholders based in Australia.
  • Proficient with MS Office (Word, Excel, Outlook) and comfortable using Applicant Tracking Systems (ATS) and rostering/workforce management tools (training will be provided).
  • High attention to detail, accuracy, and compliance, particularly when handling rosters, staff records, and candidate documentation.
