About Our Team

The Medical Intake Specialist is a crucial role in our medical records retrieval process, ensuring every intake request is accurate, complete, and optimized for downstream success.

Our team members must have excellent problem-solving skills to manage multiple requests simultaneously and ensure timely completion within client SLAs. This requires strong attention to detail and the ability to maintain high accuracy in documentation and ROI packet preparation.

The ideal candidate will have prior experience requesting medical records from providers on behalf of law firms and be proficient in Adobe and PDF editing/combining tools.

Key Responsibilities
  • Provider Research & Identification:
    • Identify all relevant providers associated with a client's treatment and locate billing providers using various tools.
    • Ensure case completion by accurately adding identified providers to the request in the admin app.
  • Request Creation & Quality Control:
    • Review and correct incoming ROIs, which are often incomplete or inaccurate.
    • Prepare accurate base forms and generate complete submission packets.
    • Conduct thorough QA reviews of each ROI packet, ensuring cover letters, affidavits, and provider-specific requirements are correct.
  • Request Assignment & Escalation:
    • Assign requests to the appropriate team member based on workload and utilization.
    • Escalate special provider requirements or edge cases to the Client Success Manager.
    • Coordinate with law firms' case managers to resolve missing or conflicting information.
  • Team Support & Process Improvement:
    • Provide coverage for urgent tasks such as payment processing or fax monitoring when needed.
    • Contribute to process improvements, reducing turnaround times or streamlining workflow.
    • Support training and onboarding of new team members.
    Requirements
    • Prior experience requesting medical records with proven ability to meet targets.
    • Strong attention to detail and proficiency in Adobe and PDF tools.
    • Excellent written and verbal communication skills.
    • Proactive problem-solving mindset.
