
Chief Administrative Officer

We are seeking a highly organized and detail-oriented Administrative Assistant/Bookkeeper to fill this key role. This position requires strong administrative skills, excellent communication abilities, and the ability to work independently.
Key Responsibilities:
- Manage incoming phone calls, direct them appropriately, or take messages.
- Enter work orders into the system, update job statuses as needed, and maintain accurate records.
- Create and process invoices on time, ensuring accuracy and efficiency.
- Assist with accounts payable and receivable entries, maintaining a high level of organization and attention to detail.
- Research permit and license requirements for new projects, job sites, or services.
- Maintain digital and paper records for jobs, invoices, and documentation, ensuring easy access and retrieval.
- Provide administrative support to management and field staff, including scheduling, email correspondence, and other office tasks as needed.
- Ensure office operations run smoothly and efficiently, minimizing downtime and maximizing productivity.
Requirements:
- Proven experience in an administrative or bookkeeping role, preferably with a focus on organizational skills and attention to detail.
- Proficiency in QuickBooks and Microsoft Office (Excel, Word, Outlook), with the ability to learn and adapt to new software systems.
- Excellent phone etiquette and communication skills, with the ability to work effectively with diverse teams and stakeholders.
- Strong organizational and multitasking abilities, with a focus on prioritizing tasks and meeting deadlines.
- Ability to work independently, handle confidential information, and maintain a high level of professionalism at all times.
- Familiarity with permit/license research or willingness to learn and develop new skills.
