Job Description

As a Document Controller, you will support the procurement and delivery process in terms of receiving and facilitating document management improvements. You will assist in training, checking work standards, and reviewing processes to ensure that work is at its most efficient state, guaranteeing business excellence.

Key responsibilities include:

  • Ensuring timely return of purchase orders for faster collection from customers
  • Ensuring complete purchase orders to avoid issues with accounts receivables
  • Pre-screening and checking details of returned invoices from truckers; sorting them into categories: clean vs not clean (with Vuelto/ RTV)
  • Scanning all necessary documents whether for collection or safekeeping
  • Uploading documents into the system via WeScan and tagging them depending on their category

Additionally, you will:

  • Ensure follow-through and timely completion of requirements
  • Coordinate with POD Specialists, Sales Accounting, etc. when issues arise or as needed
  • Transmit all necessary documents for counter-checking to respective accounting user groups
  • Identify trends and issues that can negatively impact timely purchase order collections
  • Be ready to take on additional tasks as required

Document Management:

You will set and maintain a functional filing and tracking system for hard and soft files, ensuring easy access and reference to documents. This will facilitate efficient movement of documents.

Organizational Support:

Participate in corporate-wide activities and other projects as assigned.

Other Responsibilities:

Easily adapt and learn additional transactions assigned by the team.

  • Flexibility in adapting to shifting schedules and overtime as required
