Administrative Coordinator

We are seeking a highly organized and proactive Administrative Assistant to provide comprehensive support across multiple departments.
This role requires adaptability, strong organizational skills, and the ability to manage changing priorities.
The ideal candidate will assist various teams to ensure smooth day-to-day operations and effective communication between departments.
Key Responsibilities:
- Provide administrative support to different departments as needed
- Manage and maintain schedules, calendars, and appointments for team members across departments
- Arrange and manage travel and related services
- Transcribe meeting notes and create tasks and follow-ups
- Perform data entry and manage contact records in CRM systems
- Interact with clients to ensure data accuracy and support client communications
- Assist with onboarding and contracting needs for newly recruited advisors
- Manage expense reporting for multiple teams
- Answer phones, transfer calls, and handle general inquiries
- Organize and manage email communications
- Assist in creating reports, manuals, processes, agendas, correspondence, and memoranda
- Create and manage drip correspondence for various levels of communication
What We're Looking For:
- High school degree or equivalent
- Excellent oral and written communication and customer service skills
- Strong attention to detail and ability to manage multiple tasks
- Professional phone presence
- Team player with a can-do attitude and discretion
- Ability to adapt to changing priorities and work independently
- Proficiency in MS Outlook, MS Word, and MS Excel, along with online meeting platforms (Zoom/GoToWebinar)
