- As a highly skilled and organized professional, you will be responsible for creating and sending statements or invoices, tracking payments, and recording company expenses.">
- You will gather data on trends, industry best practices, and other publicly available information, and prepare reports on the findings (e.g., for comparative analysis).">
- The successful candidate will store and organize documents and files, as well as perform data entry tasks such as preparing lead lists or meeting minutes, transcribing audio recordings, preparing payroll information, and organizing research notes.">
- Additionally, you will research products, purchase goods and secure samples, and store, update and collect information for marketing and sales campaigns through a CRM system.">
- The ideal candidate will monitor projects, conduct internal communication, and organize company data, including coordinating team calendars, preventing scheduling conflicts, and ensuring clients are on time and prepared for meetings.">
- Other responsibilities include preparing itineraries, booking hotels, rental cars, etc., conveying information to incoming calls, making calls for appointments, and conducting informational inquiries.">
- The selected candidate will reply to emails, follow up on correspondence, organize inbox as per client preferences, and notify clients about important emails.">
- Furthermore, you will synthesize data and other content into cohesive reports and presentation slides, upload videos, manage negative reviews, and keep the account profile up to date.">
- Ad hoc tasks will also be assigned as needed.">
Required Skills and Qualifications:

- Minimum of 3 years of experience as an Executive Assistant to C-levels (CEO, COO, etc.).">
- Bachelor's degree or any certificate course is required.">
- Excellent phone, email, and instant messaging communication skills are essential.">
- Excellent English communication skills, both written and verbal (at least B2 level), are necessary.">
- Solid organizational and time management skills are required.">
- Tech savvy and familiar with current technologies, like desktop sharing, cloud services, and VoIP, is a must.">
- Experience with word-processing software and spreadsheets (e.g., MS Office) is preferred.">
- Knowledge of online calendars and scheduling (e.g., Google Calendar) is beneficial.">
- Proactive attitude and willingness to be trained are desired.">
- Able to work on a graveyard shift is a plus.">
