We are seeking a highly organized and detail-oriented individual to join our team as an Executive Assistant / Medical Scheduler / Receptionist. This role requires prior experience working in a medical, clinic, or hospital setting.

Key Responsibilities:
  • Manage executive calendars, travel arrangements, and meeting coordination with accuracy and care.
  • Serve as the first point of contact for patients, clients, and partners via phone, email, or virtual reception.
  • Schedule medical appointments, follow-ups, and patient reminders with precision.
  • Maintain and update patient and office records in scheduling systems and CRMs.
  • Support executives with document preparation, meeting notes, and task follow-ups.
  • Ensure smooth day-to-day coordination of office and scheduling operations.
Requirements:
  • Prior experience in a medical, clinic, or hospital setting is required.
  • Previous experience as a Medical Scheduler, Receptionist, or Executive Assistant.
  • Knowledge of HIPAA regulations; ability to handle sensitive patient information with discretion and confidentiality.
  • Strong organizational and multitasking skills with keen attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office / Google Workspace; experience with scheduling or CRM tools preferred.
  • Highly motivated, adaptable, and proactive mindset.
