Key Job Details

This Virtual Office Assistant Manager position requires an individual who is well-organized, proactive, and efficient in managing multiple tasks. As a key member of our team, you will provide top-notch administrative support to our client, ensuring seamless operations and exceptional client service.

Primary Responsibilities:
  • Task Management: Coordinate and prioritize tasks, ensuring timely completion and meeting deadlines.
  • Scheduling and Booking: Use Halaxy to book and confirm client appointments, optimizing the client's schedule.
  • Financial Administration: Track and monitor outstanding invoices, send payment reminders, and record collections.
  • Communication: Communicate effectively with clients and organizations via email, phone, and messaging apps to confirm appointments and process payments.
  • Operational Support: Provide general administrative assistance, including data entry, document preparation, and other tasks as required.
Required Qualifications:
  • Administrative Background: At least [X] years of experience in administrative roles, preferably in healthcare or medical settings.
  • Technical Abilities: Proficient in Microsoft Office (Outlook, Word, Excel) and ability to quickly learn new software.
  • Interpersonal Skills: Excellent communication and interpersonal skills, with the ability to build strong relationships with clients and colleagues.
  • Independence: Self-motivated and able to work independently with minimal supervision.
  • Software Familiarity: Knowledge of practice management software like Halaxy is a plus (training will be provided).
