Order Operations Manager Job Summary

We are seeking a highly skilled Order Operations Manager to join our team. In this role, you will be responsible for leading the day-to-day execution and management of order operations, ensuring timely delivery of high-quality services to our customers.

Key Responsibilities:
  • Manage and oversee all aspects of order operations, including order entry, accuracy, and execution from receipt through delivery.
  • Provide exceptional customer support, including setup and configuration of orders, SOPs development, and order readiness verification.
  • Develop and implement sustainable processes and systems, focusing on efficiency and scalability as we expand our customer base.
  • Collaborate with cross-functional teams to ensure seamless integration and alignment of order operations with overall business objectives.
  • Ensure data integrity in all order operations systems, associated with order entry, fulfillment, management, and invoicing.
  • Lead month-end reconciliation efforts, providing fully vetted reporting to stakeholders showing accurate order entry and system ties.
  • Design and implement workflows using automation tools like Zapier, Make, N8N, and Parabola to significantly reduce manual work and improve productivity.
Requirements:
  • Ability to work full-time US-based hours.
  • Expertise in automation, specifically Zapier, Make, N8N.
  • Excellent written and verbal communication skills in a customer-facing role.
  • Elite organizational skills and attention to detail.
  • Process-oriented with the ability to identify, define, and implement scalable processes.
  • Experience in order processing, including EDI, B2B, and manual orders.
  • Strong ERP system experience.
  • Proven leadership experience managing direct reports.
  • 2+ years of experience working in US food & beverage order operations with distributors and retailers.
  • Able to thrive in a remote work environment under minimal supervision.
  • Customer-focused with an unrelenting desire to provide world-class customer service while keeping the company's best interest in mind.
  • Killer instinct mentality: willing to roll up sleeves, figure things out, and get things done.
Preferred Qualifications:
  • Knowledge of food & beverage industry trends and regulations.
  • Experience with process improvement methodologies.
  • Proficiency in MS Office and Google Suite.
