Virtual Assistant Job Description

We are seeking a highly organized and detail-oriented Virtual Assistant to implement systems, create SOPs, and set up project management software as part of our DFY implementation service for homebuilders and remodelers.

About the Role

The ideal candidate will have experience in construction business operations and be proficient in setting up project management software, including building templates, task checklists, roles, and workflow templates. They will also provide support tasks such as following up on missing items, maintaining project folders and version control, and providing light technical support to clients.

Responsibilities
  • Set up project management software including building templates, setting task checklists, roles, and workflow templates.
  • Translate frameworks into clear client-specific SOPs using specific formatting and language, build playbooks, checklists, agenda templates, trackers, and calculators, and create organized documentation based on detailed processes.
  • Provide support tasks such as following up on missing items, maintaining project folders and version control, and providing light technical support to clients.
Requirements
  • Degree in Construction, Engineering, Architecture, or related fields.
  • 6+ years of experience in Construction Project Management or Construction Administrative Support.
  • Proficiency in project management software, including schedule templates, task lists, permissions, roles, workflows, etc., and Google Workspace, including Docs, Sheets, Slides for templates and trackers.
  • Experience creating SOPs, playbooks, and operational templates, strong attention to detail, and ability to document step-by-step processes clearly.
  • Familiarity with construction operations or homebuilding workflows, professional written English, proactive with questions and progress updates, able to follow a structured format and adapt to feedback, comfortable working in a fast-moving project-based environment, and able to handle multiple client projects and track deliverables per account.
