The Procurement & Logistics Officer will play a crucial role in ensuring the smooth operation of our company's procurement and logistics functions. This position requires strong analytical and communication skills, as well as the ability to work effectively in a team environment.
Key Responsibilities
1. Prepare and issue Requests for Proposal (RFP) or Request for Quotation (RFQ) documents to obtain proposals and quotations in coordination with the project team for large-scale projects.
2. Interface with partners, vendors, and subcontractors for the RFP/RFP process to ensure timely submission of proposals and quotations.
3. Compare and analyze the strengths, weaknesses, opportunities, and threats (SWOT) of each partner, vendor, or subcontractor and report to the Project Manager.
4. Prepare draft supply contracts and subcontract agreements and negotiate terms and conditions in coordination with the Project Manager and internal legal representative.
5. Coordinate with the procurement team for internal approval and Purchasing Order issuance.
6. Plan and coordinate with suppliers regarding delivery timelines and methodologies, such as Incoterm and shipping modes, in alignment with project schedules advised by the Project Manager.
7. Monitor deliveries from vendors to ensure they are completed within agreed-upon timelines and report to the Project Manager if any delays are observed.
8. Coordinate with logistics companies for international transportation, importation, customs clearance, and domestic delivery to project sites.
9. Ensure proper warehouse operations, including inventory in and out management.
10. Draft delivery plans and methodologies for goods and implement them based on plans.
11. Record all transactions and deliveries for tracking purposes.
12. Document and address all incidents and accidents.
