Job Overview

We are seeking a highly skilled Administrative & Accounting Assistant to join our team on a remote basis. This role requires strong experience in virtual assistance, accounting, and administrative support.



Key Responsibilities
  • Record daily financial transactions, including sales, expenses, accounts payable, and receivable.
  • Maintain accurate digital records of invoices and receipts using cloud-based systems.
  • Support the monthly closing of books, including reconciliations and ledger reviews.
  • Prepare and maintain financial reports in Excel, ensuring accuracy and completeness.
  • Update inventory databases with sales transactions and track stock levels.
  • Maintain logs of stock received and dispatched, flagging discrepancies for further investigation.
  • Coordinate with the local team to ensure physical inventory aligns with digital records.
  • Collect and input timekeeping data for payroll runs.
  • Maintain digital HR records and ensure personnel files are up-to-date.
  • Support compliance tasks, such as policy acknowledgment tracking and onboarding checklists.
  • Set up and manage digital filing systems, ensuring easy retrieval and sharing across teams.
  • Organize documents for efficient access and collaboration.
  • Assist with data clean-up and formatting tasks.
  • Manage social media content calendars and create engaging posts.
  • Create simple graphics and copy for posts using tools like Canva.
  • Monitor engagement metrics and report key insights monthly.


Requirements
  • Minimum 2 years of experience in virtual assistance, accounting, or administrative support roles.
  • Strong knowledge of QuickBooks Online or similar platforms.
  • Proficiency in Microsoft Excel and Google Workspace (Docs, Sheets, Drive).
  • Familiarity with eCommerce operations and wine inventory management platforms.
  • Basic graphic design skills using Canva or similar tools.
  • Excellent written and spoken English communication skills.
  • High level of integrity, discretion, and attention to detail.
  • Ability to work independently with minimal supervision and manage time effectively.
