
Technical Service Coordinator

We are seeking a highly organized and detail-oriented Service Writer to join our team. In this role, you will be responsible for preparing accurate and timely service quotes, maintaining clear communication with internal teams and customers, and supporting the service workflow from inquiry to completion.
The ideal candidate is a proactive problem solver with strong administrative and technical aptitude, thrives in a fast-paced environment, and takes pride in delivering excellent service. Experience in the trucking or engineering industries is preferred but not required. Familiarity with QuoteWriter software is a strong plus.
Main Responsibilities:
- Perform quoting and service documentation-related tasks, including preparing detailed and accurate service and parts quotes using QuoteWriter software or equivalent systems.
- Review service requests, technical specifications, and diagnostic reports to determine labor and parts requirements.
- Coordinate with technicians to ensure accuracy and completeness of quotes.
- Maintain a consistent and professional format and structure across all quote documentation.
Customer Communication and Coordination Tasks:
- Serve as the main point of contact for service inquiries and quote updates.
- Communicate clearly with customers regarding quote timelines, revisions, and service expectations.
- Follow up on outstanding quotes and assist in converting quotes to active work orders.
- Ensure all customer interactions are recorded and updated in the CRM or quoting system.
Workflow and Administrative Support Tasks:
- Assist in opening and managing work orders from quote approval through job completion.
- Track quote status and maintain accurate records of all quoting activity.
- Collaborate with parts and service departments to ensure inventory availability and service readiness.
- Support service advisors and management with data entry, report generation, and quote analytics.
Process Improvement and Reporting Tasks:
- Identify opportunities to streamline the quoting process and improve quote turnaround time.
- Maintain up-to-date knowledge of services, parts, and pricing structures.
- Generate regular reports on quote volume, approval rates, and outstanding quotes.
- Participate in team meetings and provide input on workflow optimization.
Qualifications and Skills
To succeed in this role, you should have the following skills and qualifications:
- A bachelor's degree in the related field is preferred.
- 2+ years of administrative, estimating, or quoting experience in a service or technical environment.
- Experience in the truck, vehicle maintenance, or engineering industry is preferred but not required.
- Proficiency with quoting software; experience with QuoteWriter is a strong plus.
- Experience using CRM systems or workflow management tools is a plus.
- Proficient in Microsoft Office Suite (especially Excel and Outlook).
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively in a fast-paced, deadline-driven setting.
- Comfortable with customer-facing communication and technical terminology.
