Job Summary:

We are seeking a highly organized and detail-oriented Financial Operations Specialist to support our finance team for a 6-month project.

The Financial Operations Specialist will play a crucial role in billing, treasury, compliance, accounting, and audit-related tasks.

This role will involve hands-on support across various finance functions, ensuring timely and accurate financial operations within the company.

Key Responsibilities:
  • Billing:
    • Receive and verify all billing/payment requests from vendors and employees.
    • Prepare email requests for disbursement approval.
    • Check all payment requests, receipts, and attachments for completeness.
    • Issue VRF forms to vendors and follow up on missing documents/information.
    • Create vendor accounts in Xero.
    • Prepare disbursement vouchers, check preparation, and issuance, ensuring accuracy of payee, date, and amount.
  • Treasury:
    • Prepare the Daily Cash Position report.
    • Handle petty cash fund releases and request approval from the Head of Department (HOD) and Finance Manager.
    • Assist with deposit/bank transactions requiring personal submission to the bank.
    • Prepare bank forms and other payment-related forms as needed.
  • Compliance:
    • Assist in processing SEC certification document requirements.
    • Support in meeting additional government requirements and submissions.
    • Liaise with government agencies for the submission of documents.
    • Update the manual book of accounts daily based on Xero records.
    • Assist with BIR manual bank check payments (temporary) while transitioning to manual submissions.
    • Prepare BIR forms and submit them for Finance & Accounting Manager's review.
    • Support with requests from government entities.
    • Ensure check preparation and issuance are aligned with approvals from the Finance Manager.
    • Prepare weekly reports of all checks issued.
    • Prepare Business Permit renewal forms and payments.
    • Monitor monthly, quarterly, and annual BIR tax remittance forms.
  • Accounting:
    • Prepare journal entries and attach relevant supporting documents.
    • Record all finance transactions in Xero.
    • Manually record transactions in the manual books of accounts.
    • Prepare and submit BIR forms (e.g., Withholding Tax Expanded, BIR Form 2307) for the Finance Manager's review.
    • Assist with monthly balance reconciliations and month-end closing.
    • Prepare and submit financial summary reports as required by the Finance Manager.
  • Audit:
    • Assist with audit requests and ensure proper filing of finance documents, vouchers, and forms.
    • Ensure documents are available for audit as needed.

Qualifications:

  • Bachelor's degree in Finance, Accounting, or a related field.
  • At least 6 months to 1 year of experience in finance, accounting, or related roles.
  • Familiarity with Xero or similar accounting software is preferred.
  • Strong understanding of financial processes, including billing, treasury, compliance, and audit.
  • Knowledge of BIR regulations and government submissions is a plus.
  • Excellent attention to detail, time management, and organizational skills.
  • Ability to work independently and handle multiple tasks in a fast-paced environment.
  • Strong communication and interpersonal skills.
