
Financial Records Specialist

The Tax Filing/Bookkeeper is responsible for maintaining accurate financial records, preparing tax filings, and ensuring compliance with regulations.
Duties and Responsibilities- Maintain up-to-date financial records, including accounts payable, accounts receivable, and general ledger entries. Ensure accuracy and completeness of all records.
- Prepare and file tax returns in accordance with local, state, and federal regulations. Stay updated on changes to tax laws and regulations.
- Reconcile bank statements and monitor cash flow. Identify discrepancies and take corrective action as needed.
- Assist in the preparation of financial statements, reports, and budgets. Provide analysis and insights to support business decision-making.
- Monitor and ensure compliance with tax laws and regulations. Stay informed about new developments and updates.
- Respond to tax-related inquiries and coordinate with tax authorities as needed. Provide timely and accurate responses to client inquiries.
- Process payroll and ensure accurate and timely payment of employee salaries. Maintain confidentiality of employee information.
- Conduct regular audits to identify and resolve discrepancies in financial records. Implement controls to prevent future errors.
- Collaborate with internal and external auditors to ensure accurate and timely completion of audits. Provide necessary documentation and support.
- Provide support during the annual budget process and assist with financial forecasting. Help develop realistic budgets and financial plans.
- Communicate effectively with clients, vendors, and team members to ensure clarity and accuracy in all financial transactions. Build strong relationships with clients and stakeholders.
- Manage client accounts through file management systems. Ensure all documents are organized and readily available for tax filings.
- Assist clients in gathering necessary documents for tax preparation, bookkeeping, and other financial needs. Provide guidance on what documents are required.
- Schedule and coordinate client meetings, including quarterly reviews, tax planning, and general consultations. Ensure smooth communication and efficient use of time.
- Monitor the tax preparation pipeline and ensure clients submit required documents in a timely manner. Follow up with clients as needed to ensure compliance.
- Handle basic tasks related to bookkeeping, such as requesting access to financial systems, preparing journal entries, and assisting with 1099 management. Perform tasks efficiently and accurately.
- Manage communications for tax projections, extensions, and the filing of returns. Coordinate with tax authorities and clients as needed.
- Support tax preparers by resolving client questions, monitoring notes, and ensuring all preparation stages are completed smoothly. Provide assistance and guidance as needed.
- Maintain confidentiality and security of all financial data. Protect sensitive information from unauthorized access.
