We are seeking a highly organized and detail-oriented Coordinator to manage our schedules. This role will be pivotal in ensuring seamless scheduling operations across multiple teams and stakeholders.

Key Responsibilities
  • Manage calendars for team members or departments, maintaining accuracy and timeliness.
  • Schedule meetings, internal check-ins, consultations, and follow-ups with clients and internal staff via phone, email, and messaging platforms.
  • Confirm, reschedule, or cancel appointments as needed with professionalism and discretion.
  • Manage scheduling software and update calendars promptly and accurately.
  • Collaborate with operations, HR, and leadership teams to accommodate dynamic priorities and ensure smooth workflow.
  • Anticipate scheduling conflicts and offer practical solutions in real-time.
  • Ensure appointment reminders and confirmations are sent out in a timely manner.
Qualifications
  • Proven experience in administrative, operations, or scheduling roles supporting U.S.-based teams.
  • Excellent English communication skills—both verbal and written.
  • Strong organizational skills with an ability to manage multiple calendars and prioritize tasks effectively.
  • High level of attention to detail and ability to work independently with minimal supervision.
  • Proficiency in scheduling and communication tools (e.g., Google Calendar, Microsoft Outlook, Zoom, Slack, Calendly).
  • Time zone flexibility and ability to work in U.S. business hours.
  • Professionalism, discretion, and a client-focused mindset.
  • Experience in healthcare, law, or service-based industries is beneficial.
  • Familiarity with CRM or EMR systems is an asset.
  • Previous remote work experience with international teams is preferred.
  • Ability to adapt quickly to new systems and workflows.
