About Our Operations Coordinator Role

At our organization, we're seeking a detail-oriented and highly organized individual to support our media and publisher operations team. As an Operations Coordinator, you will play a critical role in maintaining accurate data, smooth processes, and aligned teams.

  • Contact Maintainer: Ensure publisher contact details are up-to-date and accurate
  • CRM Organizer: Consolidate duplicate publisher records or aliases in CRM systems
  • Onboarding Assistant: Coordinate with publishers during onboarding—link building, pixel testing, and billing verification
  • Launch Supporter: Track, document, and support new publisher launches, tests, and turn-downs with Publisher Managers
  • Data Logger: Ensure publisher property information is correctly logged and up-to-date
  • Benchmark Collector: Request and store benchmark stats for performance projections
  • Test Tracker: Process test orders for new accounts and assist with troubleshooting as needed
Publisher Operations Support Tasks

You will be responsible for the following tasks:

  1. Media Kit Collector: Request, review, and store publisher media kits and placement samples
  2. Creative QA Specialist: Ensure creatives match publisher specs and requirements
  3. Review Facilitator: Coordinate internal review, feedback, and approvals for placement comps
  4. Creative Librarian: Store client-approved creatives and keep live documentation current
  5. Link Builder: Generate and distribute tracking links, ensuring proper setup and communication
  6. Pixel Integrator: Request postback integrations, piggyback pixels, and manage testing workflows
Billing & Financial Coordination Tasks

You will also be responsible for the following tasks:

  1. Finance Communicator: Liaise with finance teams to communicate billing terms and project details
  2. IO Checker: Ensure insertion orders are in place for all billing needs
  3. Billing Tracker: Monitor and log billing changes and opportunities in the project management system
Project & Process Management Tasks

You will be responsible for the following tasks:

  1. Data Integrity Lead: Maintain clean data in project management and CRM platforms
  2. Automation Watchdog: Monitor automations and troubleshoot any issues to keep workflows running efficiently
  3. Documentation Organizer: Maintain internal documentation, templates, and tracking logs
  4. Team Aligner: Support internal communications to ensure priorities are clear and processes are followed
Requirements and Qualifications

  • Financial Awareness: Understanding of basic billing processes and documentation like IOs
  • Project Management Tools: Experience with ClickUp, Asana, Monday.com, or HubSpot is preferred
