The ideal candidate will be a highly skilled and experienced Executive Assistant to support the Chief Operating Officer (COO) of our fast-growing AI company. This is a high-trust, high-autonomy role where you will play a central part in managing calendars, streamlining operations, driving follow-ups, and executing high-leverage tasks that protect executive time and reduce friction across teams.

Key Responsibilities
  • Manage the COO's calendar, prioritizing tasks for maximum leverage and clarity
  • Schedule meetings, ensure follow-up communications are sent, and confirm logistical arrangements
  • Track ongoing projects, highlight potential blockers, and follow through on deadlines
  • Maintain operational dashboards using tools like Notion and Airtable
  • Attend key meetings, take detailed notes, and summarize action items
  • Prepare agendas, presentation decks, and any supporting materials
  • Coordinate travel arrangements across different time zones
  • Handle light personal administrative tasks
Requirements
  • At least 3 years' experience supporting a senior executive in a high-growth tech or startup environment
  • Fluent written English and strong email communication skills
  • Attention to detail and design literacy – deliverables should be clean and visually appealing
  • High emotional intelligence – able to step in when needed, step back when necessary, and provide quiet yet powerful support
  • Tech-savviness and familiarity with Slack, Google Workspace, Zoom, Notion, and project tracking tools
