Job Description

We're seeking a seasoned event professional to join our team as a Senior Events Coordinator.

This role involves partnering with our Sr. Events Manager to plan and execute employee gatherings for our distributed workforce.

The successful candidate will be responsible for coordinating event logistics, building planning artifacts, managing vendors, and ensuring seamless execution.

Key Responsibilities:
  • Event Logistics: Coordinate event planning, venue selection, catering, and audiovisual requirements.
  • Planning Discipline & Systems: Develop clear planning documents, track milestones, and communicate effectively with stakeholders.
  • Vendor Management: Source and manage relationships with key vendors, negotiate contracts, and ensure compliance.
  • Attendee Communications & Travel: Serve as the primary point of contact for attendee inquiries, manage travel arrangements, and handle registration.
  • Onsite Operations: Provide exceptional support during events, troubleshoot issues, and ensure smooth execution.
  • Cross-Functional Collaboration: Work closely with colleagues across Employee Experience, People Ops, Comms, and Executive Admin to deliver high-quality events.

We host various in-person events throughout the year, from small team gatherings to large leadership meetings and flagship programs.

Requirements:
  • Relevant Experience: 3–5 years in events coordination, operations, or hospitality.
  • Organizational Excellence: Impeccable organizational skills and attention to detail.
  • Operational Rigor: Proven ability to stay calm under pressure, prioritize tasks, and meet deadlines.
  • Exceptional Communication: Strong written and verbal communication skills.
  • Vendor, Events & Budget Fluency: Knowledge of event basics, including quotes, contracts, POs/invoices, and cost tracking.
  • Tools & AI Fluency: Proficiency with collaboration tools, event software, and a willingness to adopt new technologies that drive efficiency.
