Finance Operations Specialist

We are seeking a detail-oriented and organized Finance Operations Specialist to assist in day-to-day financial operations, ensuring smooth administrative support for the finance department at Exxel Prime Int'l Trading Inc.

In this role, you will be responsible for handling financial documents, assisting with bookkeeping, and supporting the preparation of financial reports. You will work closely with the finance team to maintain accurate financial records and ensure timely processing of payments, invoices, and other financial transactions related to our products.

Key Responsibilities:

  • Assist in managing day-to-day financial operations, including processing invoices, bills, and payments for vendors, suppliers, and internal departments.
  • Maintain accurate and up-to-date financial records, including accounts payable, accounts receivable, and general ledger entries.
  • Support the preparation of monthly, quarterly, and annual financial reports for management review.
  • Ensure proper documentation and filing of financial records, invoices, receipts, and other necessary financial documentation.
  • Reconcile bank statements, credit card statements, and other financial accounts to ensure accuracy and resolve discrepancies.
  • Monitor and track company expenses and assist in budget preparation and financial forecasting.
  • Assist in the preparation of internal and external audits by providing necessary documentation and supporting schedules.
  • Support the finance team with tax-related documents, such as VAT filings and compliance reporting.
  • Process employee reimbursements, payroll-related tasks, and ensure that payments are made in a timely manner.
  • Maintain communication with external vendors, suppliers, and service providers regarding payment schedules, invoices, and related inquiries.

Qualifications:

  • Education: Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • Experience: At least 1-2 years of experience in an administrative or finance-related role, preferably in the retail or e-commerce industry.

Technical Skills:

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), with advanced knowledge of Excel for financial reporting and data analysis.
  • Familiarity with accounting software (e.g., QuickBooks, SAP, Xero) and financial management systems.
  • Attention to Detail: Strong attention to detail, ensuring the accuracy of financial data, invoices, and receipts.
  • Organizational Skills: Ability to handle multiple tasks simultaneously and prioritize responsibilities in a fast-paced environment.
  • Communication Skills: Excellent written and verbal communication skills to effectively collaborate with internal and external stakeholders.
  • Time Management: Ability to manage time efficiently and meet deadlines consistently.

Estimated Salary: $60,000 - $80,000 per year.
