Job Description:

This part-time role offers the opportunity to scale up to full-time and oversee business systems and technology stacks.

Key Responsibilities:
  • Manage and optimize business operations, automating workflows and pipelines for lead nurturing, onboarding, and follow-ups.
  • Document standard operating procedures to ensure consistency across departments.
  • Coordinate client invoicing cycles, ensuring accurate and timely issuance of invoices.
  • Maintain oversight of client and contractor agreements.
  • Collaborate with clients regarding billing queries and coordinate with the Managing Director for exceptions or updates.
Team & Project Coordination
  • Use tools like ClickUp and Slack to align team members and track deliverables.
  • Monitor timelines, assign tasks, and flag potential issues that could affect service delivery or project deadlines.
Cross-Functional Collaboration
  • Work closely with the Client Manager to improve the client journey and support processes.
  • Support the Marketing Assistant in linking campaigns with backend automations and email funnels.
Client Experience Oversight
  • Continuously improve the client onboarding and management process through automation and streamlined touchpoints.
  • Ensure all client-facing systems are user-friendly and regularly updated.
Requirements:
  • Proven experience as an Online Business Manager or similar role in a digital or service-based business.
  • Advanced knowledge of Go High Level (GHL), project and task management tools, and corporate marketing campaigns.
  • Strong understanding of business operations, systems thinking, and automation workflows.
  • Excellent organizational and time-management skills with strong attention to detail.
