Job Title: Virtual Operations Specialist

The Virtual Operations Specialist will provide administrative support to the team, ensuring seamless operations and effective communication. This role involves a range of tasks, including document organization, data entry, research, and customer service.

Duties and Responsibilities:
  • Organize and store documents and files
  • Perform data entry tasks, including preparing lead lists, meeting minutes, and payroll information
  • Research products, purchase goods, and secure samples
  • Update and collect information for marketing and sales campaigns through a CRM system
  • Prepare statements or invoices, track payments, and record company expenses
  • Conduct market research, gather data on trends, and prepare reports on findings
  • Monitor projects, conduct internal communication, and organize company data
  • Coordinate calendars, prevent scheduling conflicts, and ensure clients are prepared for meetings
  • Prepare itineraries, book travel arrangements, and make calls for appointments or informational inquiries
  • Reply to emails, follow up on correspondence, and organize inbox as per client preferences
Qualifications and Skills:
  • At least 6 months to 1 year of experience as a Virtual Assistant
  • Excellent phone, email, and instant messaging communication skills
  • Solid organizational and time management skills
  • Able to work flexible shifts
  • Technically savvy and familiar with current technologies
  • Experience with word-processing software and spreadsheets
  • Knowledge of online calendars and scheduling
  • Proactive attitude and willingness to be trained
