
Business Operations Coordinator

The ideal candidate will serve as a trusted partner to senior leadership, ensuring seamless day-to-day operations and enabling executives to focus on driving business growth and client success. This role is central to coordinating communications and overseeing key administrative functions.
Key responsibilities include:
- Managing executive calendars, scheduling, rescheduling, and prioritizing meetings
- Preparing meeting materials, including agendas, presentations, and reports
- Conducting outreach and follow-ups with clients, partners, and collaborators
- Facilitating communication between executives and internal teams to ensure alignment and information flow
- Supporting executives in managing special projects, initiatives, and operational priorities
- Organizing travel arrangements, including flights, accommodations, and itineraries
- Preparing expense reports and assisting with budget tracking as needed
- Maintaining confidentiality when handling sensitive business and client information
- Performing research, compiling data, and providing insights to support decision-making
Required qualifications include:
- Proven experience as an Executive Assistant, Administrative Assistant, or in a similar support role; prior experience in marketing, e-commerce, or agency environments is a plus
- Technical skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with project management or collaboration tools (e.g., Asana, Trello, Slack, Google Workspace)
- Excellent written and verbal communication skills in English, with the ability to draft professional correspondence and represent executives effectively
- Strong organizational and time-management skills, with the ability to manage multiple priorities simultaneously
- High level of accuracy and thoroughness in handling tasks and documents
- Professionalism, integrity, and the ability to maintain strict confidentiality
This is a mid-senior level full-time position within the administrative and management function, serving the marketing services, staffing and recruiting, and administrative and support services industries.
