Order Operations Leader Position Overview

Ketone-IQ is expanding its retail operations and seeking a skilled Order Operations Lead to support the company's growth.

This role will play a critical part in establishing and scaling our retail operation, ensuring seamless order-to-cash processes and delivering exceptional customer service.

Key Responsibilities:

  • Lead day-to-day execution and management of the order to cash cycle - Order entry, accuracy, and execution from order receipt through customer delivery all the way through invoicing and payment collection.

  • Provide customer support for pre-order activities - including systemic setup, writing customer-specific SOP's, and ensuring customer orders are ready to process.

  • Buid sustainable processes and systems from scratch, focusing on efficiency and scalability as we onboard with new Commercial customers and build out our Customer Operations team.

  • Write and manage collection of order operations SOP's that are specific to different sales channels and customers.

  • Maintain strong data integrity in all order operations systems associated with order entry, order fulfillment, order management, and order invoicing.

  • Lead month's end reconciliation from the Order Operations perspective and provide fully vetted reporting to Accounting showing all orders for the previous month are accurately entered in all of our systems and tie out.

  • Create workflows using connectors like Zapier, Make, N8N, Parabola, etc. to significantly cut down on the amount of repetitive, manual work that the team handles on a day to day basis.

Requirements:

  • Ability to work full time US-based hours.

  • Expertise in automations and process improvements - Familiarity with Zapier, Make, N8N, and other workflow automation tools.

  • Excellent written and verbal communication skills in a customer-facing role.

  • Elite organizational skills and ability to pay close attention to details.

  • Extremely process-oriented with the ability to identify and define issues, create scalable processes, and implement those processes with team members both in and out of the department.

  • Experience managing direct reports.

  • Strong understanding of order operations finance and ERP system experience.

  • Able to thrive in a fully remote work environment under minimal supervision.

  • Customer-focused with an unrelenting desire to provide world-class customer service while keeping the company's best interest in mind.

  • Killer instinct mentality: Willing to roll up sleeves, figure stuff out, and get things done even when they don't seem to be in your wheelhouse.

  • Good to advanced Excel and Google Sheets skills. Excellent quantitative and qualitative analytic skills with the ability to formulate and articulate valid conclusions through reporting.
