Job Overview

We are seeking a highly skilled Project Assistant to support our team in the implementation of the FISH-CAP project.

Responsibilities

The successful candidate will be responsible for:

  • Providing administrative support, including scheduling meetings, preparing agendas, and maintaining project documentation;
  • Ensuring effective record-keeping and filing of all project-related documents;
  • Providing logistical support for project activities, including workshops, training sessions, and stakeholder meetings;
  • Assisting in the preparation and management of project budgets, ensuring all expenditures are in line with approved budgets and financial policies;
  • Maintaining accurate financial records, processing invoices, and managing petty cash;
  • Supporting the Project Manager in preparing financial reports for submission to the donor;
  • Ensuring compliance with all donor requirements, including reporting, procurement, and financial management guidelines;
  • Assisting in the preparation and submission of timely and accurate project reports, including quarterly and annual reports;
  • Monitoring project activities to ensure adherence to donor and organizational policies;
  • Facilitating effective communication and coordination among all project stakeholders, including local cooperatives, government agencies, and partner organizations;
  • Assisting in organizing stakeholder meetings, workshops, and knowledge sharing events;
  • Maintaining a database of project stakeholders and ensuring regular updates and communication;
  • Assisting in the development and implementation of the project's monitoring and evaluation framework;
  • Collecting and compiling data for project monitoring, ensuring accuracy and completeness;
  • Supporting the Project Manager in analyzing project data and preparing evaluation reports;
  • Performing any other tasks as assigned by the Project Manager to ensure the smooth implementation of the project;
Requirements

To be considered for this role, you must have:

  • A Bachelor's degree in Business Administration, Finance, Project Management, or a related field;
  • Minimum of 3 years of experience in administrative and financial management, preferably in a development project setting;
  • Strong organizational and multitasking skills with attention to detail;
  • Excellent written and verbal communication skills;
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with financial management software;
  • Ability to work independently and as part of a team;
  • Fluency in Tagalog and English.
Estimated Salary

This role offers an estimated salary of PHP 30,000 - PHP 50,000 per month, depending on experience and qualifications.
