Job Summary

The Office Admin Executive will be responsible for managing all aspects of office operations and facilities functions at a mid-large sized office location. This includes developing and implementing strategies for effective and efficient operations, including front reception, office supplies, vendors, office services, and overall office appearance.

Main Responsibilities
  • Develop and implement office space management plans, including seating charts and employee moves.
  • Manage all office moves and coordinate with employees, managers, and IT teams.
  • Assess needs and options for office space based on company growth in collaboration with the Head of Real Estate and Facilities Manager.
  • Assist with office build-outs and renovations, maintaining relationships with key contacts.
  • Maintain the Office's Business Continuity Plan.
  • Oversee provision of office security cards and manage parking spot allocation.
Requirements
  • Bachelor's degree or equivalent.
  • At least 5 years of office management experience or related jobs.
  • Comfortable in customer-facing roles, managing multiple stakeholders across different levels within the organization.
  • Proactive, with strong organizational, time management, and multi-tasking skills.
  • Sharp communication and interpersonal skills, fluent in English (oral and written).
  • Open to learning new tools and ways of working in a multinational setting.
  • Able to work independently and as part of a team.
  • Proficient in Microsoft Office tools (MS Excel, PowerPoint).
