We are seeking a highly skilled Project Admin Engineer to join our team. This is an exciting opportunity for a motivated individual to work with us and contribute to the success of our projects.


Job Description


The successful candidate will be responsible for ensuring that all project documentation, cost control, and monitoring processes are executed efficiently and effectively. This includes managing site expenses, monitoring project expenditures, preparing accounts payable, and serving as the custodian for petty cash funds.


Main Responsibilities


  • Properly record site expenses, including material, labor, and equipment expenses.
  • Monitor and report project expenditures against approved construction budgets.
  • Prepare project accounts payable, including RFPs and other necessary documents.
  • Serve as the custodian for petty cash funds and replenish them in a timely manner.
  • Assist the head office procurement department in sourcing local materials, equipment, and services.
  • Prepare and approve certificates of payment to suppliers and subcontractors.
  • Issue purchase orders for small item purchases.
  • Track office supplies and place orders when necessary.
  • Screen and hire local workers, scheduling trade tests as applicable.
  • Secure pre-employment requirements prior to start date and submit to the head office HRD within the agreed timeline.
  • Submit checked and validated DTRs for site workers.
  • Assist the head office HR department with functions at assigned sites.
  • Document and analyze daily accomplishment reports versus scheduled activities.
  • Analyze manpower and equipment utilization against construction plans and other available reports.
  • Submit weekly reports on financial and physical inventory of materials based on usage.
  • Act as document custodian for the project, maintaining and organizing up-to-date project records.
  • Ensure that toolbox minutes are properly documented.
  • Manage agendas, travel arrangements, and appointments for upper management.
  • Manage phone calls and correspondence, including email, letters, and packages.
  • Submit timely reports and prepare presentations and proposals as assigned.
  • Implement DOLE-approved construction safety standards and company safety policies on project sites.

Qualifications


To be successful in this role, you will require:


  • A Bachelor's degree in Engineering or a related field.
  • A minimum of three years' work experience in a related field, preferably in an office administration or relevant role.
  • Outstanding communication and interpersonal skills.
  • Excellent organizational and leadership abilities.
  • Familiarity with office management procedures and basic accounting principles.
  • Proficiency in MS Office and office management software (ERP, etc.).
  • A willingness to travel and be assigned to project sites.
  • Previous experience in site assignments is an advantage.
