Lease and Compliance Administrator

Cocopan is seeking a skilled Lease & Compliance Specialist to ensure the smooth administration of lease agreements and efficient regulatory compliance.
About the Role:
- Key Responsibilities:
- Assist in drafting, reviewing, and managing lease agreements, amendments, renewals, and related documentation.
- Monitor and maintain a calendar of lease timelines, permit renewals, payment schedules, and other critical milestones.
- Coordinate with finance and operations teams to ensure compliance with lease terms.
- Maintain a comprehensive database of lease contracts, including key terms and conditions.
- Ensure all lease documentation is properly filed, organized, and accessible for auditing and review.
- Closely coordinate with Liaison/s and endorse all required documents for application process of permits related to business operations.
- Prepare all required documents to be submitted for applications of new permits, renewals, and modifications.
- Track the status of applications, ensuring timely follow-up to avoid delays. Manage and store all permit-related documentation.
- Assist in project endorsement to Project Management team in-charge for renovations.
- Prepare regular reports on lease status, upcoming renewals, and permits.
- Provide administrative support related to lease and permit matters, including answering inquiries, filing, and documentation retrieval.
- Communicate lease and permit requirements to relevant departments within the organization to ensure compliance and minimize operational disruptions.
- Assist in ensuring all documentation is compliant with internal policies and procedures.
Qualifications:
- A graduate of Bachelor's degree in Business Administration, preferably in Real Estate, or a related field but not a requirement.
- Must have at least 1-2 years experience in lease administration, real estate management, or a similar role.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, etc.) and Google Workspace.
- Has basic knowledge of lease agreements, contracts, and permitting processes.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Strong communication and interpersonal skills.
