Payroll Specialist Job Overview

The Payroll Specialist is a pivotal role within an organization responsible for overseeing the end-to-end payroll process, ensuring timely and accurate processing for approximately 600 multi-state union and non-union employees. This position plays a critical role in managing compliance with collective bargaining agreements, internal policies, and all applicable federal, state, and local laws.

  • Process bi-weekly payroll for multi-state employees and weekly off-cycle payrolls, guaranteeing accuracy and adherence to regulatory requirements.
  • Audit timecards, rate changes, retroactive adjustments, bonuses, and final pay calculations to ensure correctness and fairness.
  • Ensure managerial approval of time and pay exceptions before processing, maintaining transparency and accountability.
  • Manage deductions such as benefits, union dues, garnishments, auto allowance, and Direct Bill payments with precision and attention to detail.
  • Oversee W-2s, year-end filings, and state tax withholdings setup, ensuring seamless execution.
Key Responsibilities
  • Perform regular audits on benefits deductions, vacation accruals, and group term life insurance to identify areas for improvement.
  • Lead or contribute to payroll system configuration, upgrades, testing, and quality assurance in Paycom and Time and Attendance systems, driving innovation and efficiency.
  • Generate and maintain payroll and labor cost reports for internal stakeholders, providing valuable insights and intelligence.
Requirements
  • Bachelor's degree in Business, Accounting, or a related field, equipping you with a strong foundation in financial principles and practices.
  • Minimum of 5 years of hands-on payroll processing experience in a multi-jurisdiction environment, demonstrating expertise and adaptability.
  • Deep understanding of payroll laws, accounting principles, and tax regulations, ensuring you stay abreast of evolving compliance requirements.
