Job Title: Executive Assistant E-commerce Coordinator

Are you a highly organized and detail-oriented individual with experience in executive assistance and e-commerce coordination? Do you have a passion for ensuring seamless operations and exceptional customer experiences?

This role is ideal for someone who can effectively manage calendars, communications, and project coordination while providing top-notch support to the executive office and e-commerce store.

Responsibilities:
  • Calendar Management: Manage executive calendars, schedule meetings, and coordinate logistics to ensure smooth execution of events.
  • Communication Support: Monitor inboxes and assist with communications and follow-ups to maintain open lines of communication.
  • Meeting Preparation: Prepare meeting notes, presentations, and internal documentation to ensure clarity and accuracy.
Shopify Store Management:
  • Content Updates: Update product pricing, descriptions, and website content including headers and collections to maintain a consistent brand image.
  • Content Audits: Conduct regular content audits and implement site-wide copy changes to ensure compliance and consistency.
  • Page Management: Use Shopify's admin dashboard to create or modify pages and collections to maintain a well-organized online presence.
Quality Assurance & Testing:
  • QA Checks: Perform QA checks after product launches, price updates, or site changes to identify and resolve issues promptly.
  • Customer Journey Testing: Test customer journeys such as add-to-cart, checkout, and confirmation emails to ensure a seamless user experience.
  • Bug Identification: Identify and escalate bugs or UX/UI issues promptly to maintain a high level of quality.
Coordination with Developers and Agencies:
  • Primary Point of Contact: Serve as primary point of contact for developers, designers, and marketing partners to facilitate effective collaboration.
  • Project Tracking: Track open projects, requests, and deadlines using tools like Asana, Trello, or Notion to maintain transparency and accountability.
  • Documentation: Document and communicate requirements and QA feedback clearly to ensure understanding and implementation.
General Operations:
  • Store Performance Monitoring: Monitor store performance and flag irregularities to maintain a healthy online presence.
  • Performance Reports: Assist with pulling performance reports and customer data to inform business decisions.
  • Workflows Improvement: Help document SOPs and improve internal workflows to enhance efficiency and productivity.

The ideal candidate will have 2+ years in an executive assistant, e-commerce coordinator, or similar operations role. They should be proficient in Shopify admin and CMS management, and have experience with quality assurance testing in e-commerce environments.

Requirements:
  • Shopify Proficiency: Proven familiarity with Shopify or similar CMS/e-commerce platforms.
  • Quality Assurance Experience: Experience with quality assurance testing in e-commerce environments.
  • Coding Skills: Basic coding experience (HTML/CSS) to manage site updates.
  • Strong Organizational Skills: Strong organizational and communication skills with high attention to detail.
