Project Coordinator Role Summary

A Project Coordinator supports the execution of project tasks by coordinating daily activities, tracking deliverables, and ensuring timely communication among stakeholders.

This role plays a critical part in maintaining project documentation, schedules, and reports in complex, multi-stakeholder environments. The successful candidate will be responsible for planning meetings, documenting discussions, and following up on action items to ensure progress remains on track.

Key responsibilities include:

  • Supporting day-to-day coordination of project activities and deliverables
  • Tracking project schedules, action items, and reporting deadlines
  • Assisting in planning meetings, taking notes, and managing follow-ups
  • Maintaining and regularly updating project plans, timelines, and task trackers
  • Coordinating communication between internal teams and external partners
  • Preparing draft reports, presentations, and briefing materials as needed
  • Monitoring workstream progress and flagging risks or potential delays
  • Helping track contract or grant compliance and maintaining related documentation
  • Organizing and managing shared folders and files to ensure proper version control
Required Skills and Qualifications

To be successful in this role, the ideal candidate will possess:

  • A Bachelor's degree in Business or a related field
  • 3+ years of experience in project planning, documentation, scheduling, and reporting in complex, multi-stakeholder environments
  • Strong organizational, time management, and multitasking skills
  • Excellent communication and interpersonal abilities
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and project management tools (e.g., MS Project, Trello, Asana)
  • Ability to work independently with minimal supervision and adapt to shifting priorities
  • Strong problem-solving skills and attention to detail
