Financial Operations Specialist

Job Overview: We seek an experienced Financial Operations Specialist to manage our day-to-day financial operations, including accounts communications and documentation, accounts payable, accounts receivable, payroll, reconciliations, and reporting.

Key Responsibilities:

  • Read, understand, and respond to emails related to financial transactions.
  • Evaluate unclear or uncertain matters and escalate them to the appropriate personnel.
  • Communicate effectively with stakeholders and managers regarding financial operations.
  • Process and manage documentation according to client-specific policies and procedures.
  • Create, manage, and maintain automations to streamline financial processes.
  • Understand and process ledger transactions, ensuring accuracy and completeness.
  • Identify anomalies or omissions in financial data and request additional documentation from clients.
  • Assign transactions to general ledger accounts and ensure proper classification.

Payroll Processing:

  • Process payrolls in Employment Hero Payroll, including timesheet-based payrolls, award interpretation, termination and redundancy payments, complex automations, bonuses, commissions, allowances, superannuation, salary sacrifice, expense reimbursements, onboarding, and offboarding employees.
  • Manage Employment Hero Payroll and Xero ledger integrations to ensure seamless data exchange.
  • Provide payroll support to clients and employees, addressing any queries or concerns.

Reconciliation:

  • Reconcile ledger transactions to ensure accurate and up-to-date financial records.
  • Reconcile bank statement records to identify any discrepancies or errors.
  • Reconcile payroll to ledger to ensure accurate financial reporting.
  • Reconcile and manage payroll control accounts to prevent errors and inconsistencies.
  • Produce and maintain full, complete, and correct balance sheets to provide a clear picture of financial health.

Client Operations:

  • Check and process purchase orders to ensure timely payment and delivery.
  • Operate and manage inventory platforms to maintain accurate stock levels and minimize waste.
  • Complete forms and template-based documents to facilitate smooth communication with clients.
  • Create and manage invoices to meet client needs and preferences.
  • Input data to different sources to ensure accurate and efficient financial management.
  • Meet and discuss transactions with clients to address any queries or concerns.
  • Request and update documentation from clients to maintain accurate and up-to-date records.
  • Understand and manage each client environment to provide tailored solutions.

Requirements:

  • Experience with Australian accounting practices, particularly in payroll and operational roles.
  • Solid analytical skills to support account managers and clients.
  • Proficiency in Employment Hero Payroll and Xero to ensure seamless data exchange and accurate financial reporting.
  • Australian GST, accounting, and payroll principles to ensure compliance and accuracy.
