Project Coordinator Job Overview

This role is pivotal in driving private-label and branded initiatives forward by coordinating cross-functional teams, managing artwork development processes, and maintaining accurate project data to ensure timely delivery with minimal risk.

The ideal candidate will play a key support role to the Project Manager, contributing directly to successful product commercialization and fostering strong relationships with internal teams and external partners.

Key Responsibilities:

  • Assist the Project Manager in developing and tracking project plans to ensure deliverables are completed on time and within scope.
  • Coordinate end-to-end artwork management, including version control, approvals, and timely delivery to meet production schedules.
  • Report on and coordinate packaging transitions and associated liabilities to ensure zero financial impact.
  • Act as a liaison between sales, procurement, production, regulatory, quality, and logistics teams by coordinating cross-functional activities and proactively flagging delays or disconnects.
  • Own the accuracy and maintenance of critical project data, including timelines, project documents, and artwork processes.
  • Prepare regular reports, dashboards, and presentation materials for internal stakeholders.
  • Facilitate Product Life Cycle master data setup and updates, manage change control processes, and support delisting activities in coordination with stakeholders.
  • Identify and recommend process improvements to increase operational efficiency and support best practices in project coordination.
Requirements

The ideal candidate should have:

  • At least 3 years of experience in project coordination, managing end-to-end timelines, and supporting project management activities.
  • Project coordination or project support experience in Consumer Packaged Goods or food manufacturing environments is required.
  • A College Diploma/Bachelor's degree in a relevant field or an acceptable combination of education, training, and experience.
  • Experience in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, SharePoint).
  • Highly organized with exceptional attention to detail.
  • Collaborative, proactive, and capable of managing multiple priorities under tight deadlines.
  • Excellent written and verbal communication skills.
  • Experience coordinating artwork management and packaging development processes is an asset.
  • Familiarity with project management tools and ERP systems is an asset.
