Job Opportunity

We are seeking a highly organized and detail-focused Records Specialist to join our team. This role is responsible for managing all aspects of medical records requests, ensuring compliance with applicable regulations and maintaining the highest level of confidentiality.

Key Responsibilities:
  • Request Management: Receive, verify, and process incoming medical records requests from various sources.
  • Authorization Validation: Verify the identity and authority of requestors, confirm scope, purpose, and expiration of authorization, and check minimum necessary alignment.
  • Clinical Clearance: Route requests to treating clinicians and psychiatric/psych prescribing providers for review and approval, documenting approvals/holds in the ROI log.
  • Record Preparation: Retrieve designated record sets, apply naming conventions, paginate and assemble PDFs, redact restricted content as directed, and use secure encryption for outbound delivery.
  • Fulfillment and Documentation: Send records via approved secure methods, recording date/time, contents, recipient, method, and authorizing document.
  • Timeliness and Service Levels: Meet internal SLAs and applicable federal/state timeframes, proactively communicating status and any missing elements to requestors.
