Duties & Responsibilities

Major responsibilities will be as follows:

  • To maintain Stock Register for Villas and Office and prepare daily/weekly/monthly Materials Purchase Report (MPR), Materials
  • Received Report (MRR) and Material Released Report.
  • Maintenance of petty cash, cash book, stock ledger & different registers related to Accounts and Stocks (including preparation of all vouchers) for the Office and Villas.
  • Responsible for Dispatch of Materials
  • Stock Auditing

Accounts Management

  • To prepare basic and some intermediate account reconciliations
  • To prepare schedules, reports, and ad-hoc projects
  • To prepare routine and one-time journal entries
  • To prepare physical inventory variance reports for field use
  • To review, processes, sets up, and reports warranty credits and warranty receivables.
  • To perform physical inventory postings and inventory corrections
  • To perform simple and complex inventory movements

Handling Billing and Dispatch

  • Liaison between Sales Team and Accounts and ensure regular billing and dispatch of goods
  • Coordinating with own logistics and external providers to ensuretimely dispatch and delivery
  • To Update on fund availability/requirement

MIS

  • Maintenance of Sales and Stock Registers
  • Collection, checking and filing of Operation Reports from the team onregular basis
  • Periodic reporting to the team with requisitioned data
  • Follow-up on Outstanding Payments

Warehouse Management

  • Maintaining Stock levels
  • Coordinating with Operations Team to ensure replenishment
  • Maintenance of records with respect to inventory
  • Handling returns; maintaining register of damaged goods

Marketing Support

  • Inventory management of Marketing collaterals
  • Coordination with vendors and Purchase Department for timely deliveries
  • Tracking & Reporting of Competitor Activities and Schemes

Purchase, Inventory & Logistics Operations

  • Ensure that procurement of all materials are done at the lowest possible cost, with the highest quality in the least possible time
  • Create and ensure implementation of systems and processes to guarantee cost and timeline efficiencies – including vendor empanelment practices, tendering practices, ordering practices, negotiation practices, inventory management practices, logistics practices etc.
  • Manage all purchase issues
  • Run an efficient inventory management system
  • Coordinate with all Purchase & Admin personnel, Data personnel, Contractors, Vendors, etc.

General

  • Create, own and operate all systems to ensure operations run smoothly
  • Oversee daily operations of the company and the work closely with Executives, Managers and Heads (Marketing, Sales, Finance, Purchase, & Admin along with Architects, Designers, etc.)
  • Manage relationships with partners, contractors and vendors
  • Plan and coordinate the financial and business annual budget process which is to be relevant to all operational and administrative aspects of the organization
