Job Summary:
We are looking for a friendly, organized, and professional Receptionist to join our team. The ideal candidate will be the first point of contact for visitors, clients, and employees, and will handle a variety of administrative tasks to ensure the smooth operation of the office.
Key Responsibilities:
Front Desk Management:
Greet and welcome visitors in a friendly and professional manner.
Manage the visitor sign-in process and issue visitor badges.
Direct visitors to the appropriate staff or department.
Phone Handling:
Answer, screen, and forward phone calls.
Take messages and ensure they are relayed to the appropriate person.
Maintain a professional tone while handling inquiries.
Administrative Support:
Schedule and confirm appointments, meetings, and conference rooms.
Perform light administrative duties such as filing, photocopying, and faxing.
Maintain office supplies inventory and order items when necessary.
Assist with mail sorting, distribution, and preparation of outgoing mail.
Customer Service:
Provide excellent customer service by addressing inquiries and resolving issues promptly.
Assist clients and staff with general office needs.
Data Entry & Office Coordination:
Maintain office databases, schedules, and records.
Assist with employee onboarding, including preparing office materials.
Coordinate office events or meetings as required.
Other Duties as Assigned:
Perform any other tasks as needed to support the office operations.
Qualifications:
Education: High school diploma or equivalent; associate degree or higher preferred.
Experience: Previous experience in a receptionist, administrative, or customer service role is preferred.
Skills:
Strong communication and interpersonal skills.
Excellent phone etiquette and customer service skills.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Ability to handle multitasking and high-pressure situations.
Organizational skills and attention to detail.
Personal Attributes:
Friendly, approachable, and professional demeanor.
Positive attitude with a problem-solving approach.
Ability to maintain confidentiality and handle sensitive information.
Strong time management and organizational skills.
Working Conditions:
Work hours: 8:30 AM- 5:00 PM.
