A. Job Summary:Perform administrative tasks in service operations, coordinate with technicians, manage documentation, monitor inventory, handle schedules and systems, processing payments, perform clerical tasks, facilitate communication between departments, ensure compliance with procedures, implement 5S methodology, and generate incident reports when needed.

B. Daily tasks:
  • Facilitate the preparation and issuance of parts to technicians, ensuring the accurate provision of accompanying documents such as Delivery Receipts (DR), and Delivery Notes (DN) along with FSRR or PM documents as necessary.
  • Encode the technician's daily activities from the accomplished service reports in Service Report Monitoring.
  • Encode and monitor the service vehicle's gasoline consumption through the Fleet card transactions.
  • Segregate the accomplished service reports whether the reports are Aftersales accounts and Rental accounts.
  • Coordinate with the Parts Coordinator (Reverse logistics) for the initial checking of the generated RLS by sending the picture of the RLS, used parts, and DN through the messenger group chat before the day of pull-out schedule.
  • Update the rental monitoring by encoding the required details such as PM type, date conducted, hour-meter reading, PM Report number, time started, time finished, and the number of technicians who conducted the PMS.
  • Create transmittal of documents such as DR, FSRR, PM, BS, SI, and other relevant documents to be turn over to the Head Office.
  • Update the board monitoring such as PM Monitoring, Tire Replacement Monitoring, and Technician's Daily Schedule.
  • Communicate with the HR Talent Acquisition Specialist for any concerns relevant to biometrics.
  • Execute the 5S methodology in daily operations or activities.
  • Perform clerical tasks such as answering email, telephone, and mobile phone – daily

C. Qualifications:
  • Education: Bachelor's Degree in Business Administration, Office Administration, or any related field
  • Work Experience: At least one (1) year of experience
  • Proficient in Microsoft Excel and Word
