Corporate Relations and Events Specialist

Chong Hua Hospital is looking to hire an experienced and highly motivated Corporate Relations and Events Specialist who is responsible for leading and supporting the planning, execution, and management of corporate events, partnership activations, and healthcare caravans for Chong Hua Hospital. This position emphasizes building stronger relationships with both internal and external partners, expanding community outreach, and supporting financial sustainability through strategic events and collaborations. The Specialist will collaborate closely with various teams to ensure alignment with organizational goals and objectives under the Business Development Division.
Job Duties and Responsibilities:
Event Planning and Execution:
- Take the lead in planning and managing corporate events such as but not limited to HRD Related events, Corporate Planning internal initiatives, hospital services and centers launch, and networking events, with direct coordination and support from internal event owners.
- Ensure events are strategically aligned with Chong Hua Hospital's objectives to foster partner engagement and community outreach.
- Manage logistics, vendor relationships, and event staff to ensure seamless execution and positive outcomes.
- Analyze post-event feedback to improve future event planning and performance.
Partnership Activation and Relationship Management:
- Cultivate and manage relationships with external partners, stakeholders, and sponsors, focusing on mutually beneficial collaborations in coordination with the Accounts Management Team.
- Develop and execute partnership-driven events and activations that align with hospital goals, community engagement, and brand presence.
- Collaborate with internal teams to ensure event and partnership activities support the hospital's long-term growth and sustainability.
Healthcare Caravan Coordination:
- Lead the organization and execution of healthcare caravans, ensuring they provide valuable services to the community and partner institutions.
- Work with medical and logistics teams to plan and implement mobile health services, clinics, and screenings.
- Measure and report on the success and impact of healthcare caravans, providing insights for continuous improvement.
Internal Stakeholder Collaboration:
- Work closely with various internal teams to ensure alignment between corporate events, marketing strategies, and business development objectives.
- Serve as a point of contact for event owners, ensuring smooth communication and coordination across departments.
Community Outreach and Expansion:
- Coordinate events and initiatives that increase Chong Hua Hospital's visibility and engagement in local communities.
- Liaise with international communities present in Cebu to foster relationships and support events, providing translation assistance and cultural context as needed.
- Organize programs that improve the hospital's engagement with diverse populations, enhancing its reputation as an inclusive healthcare provider.
Financial Sustainability:
- Manage event budgets efficiently, ensuring cost-effective execution of events and partnership initiatives.
- Assist in the identification and pursuit of funding opportunities, if needed, such as sponsorships or co-branded campaigns, to support financial sustainability.
Reporting and Evaluation:
- Provide regular reports to senior management on event outcomes, partnership progress, and community engagement efforts.
- Evaluate event success using data and feedback to drive continuous improvement in future initiatives.
Others:
- Perform other duties and responsibilities as may be assigned or requested by the immediate superior or management from time to time.
Qualifications:
Event Planning & Management:
- Strong organizational and project management skills, with the ability to handle multiple events and tasks simultaneously.
- Expertise in coordinating large-scale corporate events, conferences, seminars, and community outreach programs.
- Ability to manage logistics, vendor contracts, budgets, and schedules effectively.
Partnership & Relationship Building:
- Proven ability to build and maintain relationships with external stakeholders, including sponsors, partners, and community organizations.
- Experience in activating and managing partnerships that align with organizational goals and objectives.
- Strong communication skills for liaising with both internal teams and external partners.
Customer Service Excellence:
- Strong customer service skills, with a proven ability to handle inquiries and concerns professionally and efficiently.
- Focus on delivering a positive experience for all stakeholders, including internal clients, event attendees, and external partners.
Cross-functional Collaboration:
- Ability to work collaboratively across various internal departments (marketing, business development, medical teams) to ensure alignment and support for events and initiatives.
- Experience in managing cross-departmental communications and driving collective project outcomes.
Healthcare Industry Knowledge (Preferred):
- Familiarity with the healthcare industry, particularly in organizing health outreach programs and healthcare-related events.
- Understanding of community health needs and how to tailor events to maximize impact.
Financial Management:
- Proficient in budgeting and managing event finances, ensuring cost efficiency while achieving desired outcomes.
- Experience in securing and managing sponsorships or other revenue-generating initiatives tied to events.
Communication and Presentation:
- Excellent written and verbal communication skills, with the ability to produce clear and engaging reports, proposals, and presentations.
- Comfort in presenting to both internal teams and external stakeholders, including sponsors and partners.
International Client Relations:
- Proven ability to manage international clientele, demonstrating cultural sensitivity, effective cross-cultural communication, and a strong understanding of diverse expectations.
- Experience in coordinating international partnerships, conferences, and events, with a focus on fostering long-term relationships and achieving mutual goals.
- Knowledge of international event standards, compliance requirements, and relevant legal considerations to ensure smooth execution.
Digital & Social Media Savvy:
- Proficient in using social media and digital tools to promote events and engage audiences.
- Experience using event management software, CRM platforms, and digital communication tools.
Problem-Solving & Decision-Making:
- Ability to address challenges quickly and effectively, particularly under pressure during event execution.
- Strong decision-making skills, with an emphasis on achieving optimal results in complex situations.
Attention to Detail:
- Exceptional attention to detail in all aspects of event planning and execution, ensuring accuracy and smooth operations.
Event Planning and Execution:
- Minimum of 3-5 years of experience in event planning, coordination, or management, preferably within the healthcare or corporate sector.
- Proven experience in managing corporate events, including handling budgets, logistics, and post-event evaluations.
Partnerships and Community Outreach:
- At least 2-3 years of experience in managing partnerships or community outreach programs, with a focus on long-term relationship building.
- Experience in executing partnership activations, including co-branded events or joint campaigns.
Customer Service:
- Minimum of 2 years of experience in customer service roles, with a focus on delivering exceptional service to diverse clients and stakeholders.
- Proven ability to address customer needs and inquiries effectively while maintaining professionalism.
Project Management:
- Proven experience in project management, including planning, executing, and evaluating initiatives with cross-functional teams.
- Familiarity with project management tools and methodologies (e.g., Agile, Scrum, or Kanban).
Experience with International Clients:
- Proven experience in handling international clientele or managing cross-border events/partnerships.
- Demonstrated ability to navigate the complexities of international relationships, including cultural sensitivities, language barriers, and differing business practices.
- Experience in coordinating international conferences, networking events, or healthcare programs for a global audience.
Healthcare Industry (Preferred):
- Experience in the healthcare industry, particularly in organizing or supporting health-related events and outreach programs.
- Knowledge of community health initiatives, patient engagement, or healthcare policy is a plus.
Stakeholder Management:
- Experience managing relationships with high-level executives, sponsors, and other key stakeholders.
- Ability to represent the organization at events and act as a liaison between various partners, ensuring alignment and mutual benefit.
Education:
- Bachelor's degree in business administration, Advertising, Marketing, Public Relations, Event Management, or a related field.
- Certifications or courses in event planning, project management, or customer service (such as PMP, CEM, or similar are a plus.
