We are looking for a highly organized and detail-oriented Floral Production and Inventory Coordinator to join our team. This role is essential in managing the daily inventory of flowers, consumable and non-consumable materials, and ensuring that production and event needs are met. You will work closely with the production and events teams, providing support where needed, and act as the point person in the absence of the production lead. Your ability to effectively manage inventory, allocate resources, and maintain smooth operations will be key to our team's success.

Duties and Responsibilities:

  • Inventory Management: Oversee the daily inventory of flowers, ensuring that stock levels are monitored, maintained, and allocated appropriately for various production needs. Ensure that flowers are fresh, properly stored, and ready for use.
  • Resource Allocation: Manage the allocation of consumable (e.g., floral foam, ribbons, wires) and non-consumable materials (e.g., vases, tools) for floral arrangements, production, and events. Ensure that all necessary materials are available and stocked for upcoming projects.
  • Production and Event Support: Work closely with the production and events teams to ensure all material and floral needs are met for upcoming events or daily production tasks. Provide support and assistance as needed to ensure smooth and efficient operations.
  • Daily Production Report Management: Prepare and manage the daily production report, tracking inventory usage, flower allocations, and the status of ongoing projects. Ensure the report is accurate and up-to-date for effective communication within the team.
  • Point of Contact for Production Absence: Act as the main point of contact for the production team in the absence of the production lead. Ensure that production and event-related operations continue smoothly, addressing any immediate needs or challenges.
  • Quality Control: Ensure that all floral arrangements and materials used in events meet quality standards. Address any quality issues promptly and ensure all arrangements are prepared to meet client expectations.
  • Supplier Coordination: Assist with coordinating orders and deliveries of flowers and other materials from suppliers. Monitor order timelines and ensure that all required products arrive on time for production needs.
  • Stock Replenishment: Monitor and track inventory levels, and work with suppliers to replenish stock as needed. Ensure that there is no overstock or shortage of materials that could impact production timelines.
  • Process Improvement: Identify areas for improvement in the inventory and production process, suggesting and implementing more efficient methods for inventory tracking, material allocation, and resource management.

Qualifications:

  • Previous experience in floral arrangement production, inventory management, or event coordination is preferred.
  • Strong organizational skills and the ability to manage multiple tasks and responsibilities simultaneously.
  • Excellent attention to detail, ensuring inventory and production needs are accurately tracked and met.
  • Ability to work closely with different teams and provide support where necessary.
  • Strong communication skills and the ability to act as the point person during the absence of the production team lead.
  • Proactive and solution-oriented, able to address issues before they become problems.

Preferred Skills:

  • Experience in floral design, event planning, or floral production.
  • Knowledge of inventory management systems and production tracking tools.
  • Ability to work in a fast-paced environment, especially during high-demand production periods.
