• Microsoft Expert – Advanced knowledge of Microsoft tools and ecosystem.
• AI & Automation Pro – Minimum 2 years of hands-on experience designing and implementing AI and automation solutions.
• Reliability is Non-Negotiable – Consistently delivers on time with precision and accountability.
• No-Code/Low-Code Mastery – Skilled in platforms like Zapier, Make (Integromat), N8N, and similar tools.
• API Integration Skills – Solid understanding of APIs, webhooks, and data mapping.
• AI Tool Integration – Experienced in embedding AI tools (ChatGPT, Claude, Midjourney, Whisper, etc.) into streamlined workflows.
• CRM Workflow Automation – Familiar with CRM platforms, with a track record of automating task creation, lead, and contact workflows.
  
  

Responsibilities of the AI Engineer:

Your responsibilities include:

• Project Support & Coordination
  • Eliminating redundancy by designing AI-driven processes that replace manual back-and-forth with automated, integrated workflows
  • Meeting Workflow Automation:
    • Automate meeting notes, recaps, and action items using AI transcription tools (e.g., Otter.ai or alternatives).
    • Distribute briefs, summaries, and action items automatically to relevant stakeholders via email and Microsoft Teams.
    • Auto-generate tasks from meeting notes and assign them in MS Projects
  • Seamless File Handling:
    • Auto-upload meeting and field recordings to OneDrive
    • Leverage Microsoft APIs for efficient file and data integration
  • Ongoing Optimization:
    • Monitor, troubleshoot, and refine automations to maintain high performance
      
      
• Microsoft System Integration & Maintenance
  • Workflow Mapping:
    • Learn and document current workflows across the organization to identify inefficiencies
  • System Connections:
    • Set up API integrations between Microsoft products, transcription tools, and project management systems.
    • Connect data sources to create centralized, actionable outputs.
    • Explore automation options within Microsoft Calendar to benefit all team members
    • Implement automated buffer times between back-to-back meetings
  • Ongoing Support:
    • Maintain and troubleshoot automation tools
    • Adapt workflows based on user feedback to ensure adoption and long-term efficiency
      
      
• Voice-to-Form Data Capture Automation
  • On-Site Recording Solutions:
    • Implement wearable or mobile AI tools to capture key conversations in the field
  • Automated Upload & Processing:
    • Auto-upload recordings to OneDrive for central storage
    • Transcribe conversations and extract key points
    • Identify and log action items in a shared document, spreadsheet, or future database templates
  • Project Linking:
    • Build workflows that link summaries and action items to specific projects or job sites for easy reference
      
      
• Communication Management
  • Thread Monitoring:
    • Monitor and triage team chats, Slack threads, and emails
    • Pull and filter information from emails, Microsoft Teams, and text messages/iMessage
    • Develop keyword- or tag-based triggers to flag urgent or important communications.
    • Consolidate daily communications into a single, prioritized report
  • Email Automation:
    • Set up tagging/labeling systems to identify urgency, sender priority, or relevant topics
  • Cross-Platform Integration:
    • Research and test automation solutions for SMS/iMessage while maintaining privacy compliance
      
      
• Data Dashboards & Reporting
  • Develop dashboards to surface project metrics, trends, and progress.
  • Automate weekly recap reports highlighting accomplishments and upcoming priorities.
  • Provide snapshot overviews for quick leadership insights.
