About the role
We are seeking an experienced, detail-oriented Medical Insurance Verification Specialist to manage health insurance verifications, clarify patient benefits, and ensure seamless administrative workflows for our growing group practice. Reporting directly to the Practice Owner, this role is critical to verifying coverage for new and existing clients, calculating patient financial responsibility, and maintaining accurate billing data within our client portal.
Key responsibilities
Conduct thorough daily health insurance verifications over the phone with insurance providers. Verify active coverage, deductibles, copays, coinsurance, and overall patient financial responsibility.
Review and confirm benefits using CPT codes and medical billing details (mental health insurance knowledge preferred).
Audit active client files to track remaining covered sessions, identify insurance coverage terminations, and update practice records accordingly.
Enter accurate verification notes and coverage details into the TherapyAppointment client portal and maintain updated internal Google Sheets tracking documents.
Maintain regular, transparent daily updates with the Practice Owner to provide status reports, clarify edge cases, and ensure clear alignment on client intake needs.
About you
Minimum of 3+ years in medical insurance verification, healthcare administrative services, or revenue cycle management (experience in a mental health or group counseling practice setting is a plus).
Strong background in health insurance terms, CPT codes, deductibles, copayments, out-of-pocket maximums, and pre-authorization/session tracking.
Certified or thoroughly trained in HIPAA compliance and strict patient privacy regulations.
Excellent verbal English communication skills for handling phone calls with insurance carriers and communicating directly with practice leadership.
Experience using client portals (preferably TherapyAppointment) and proficiency with Microsoft Office / Google Workspace (Google Sheets).
Proactive, organized, and comfortable operating under direct hands‑on supervision in a part‑time remote setting.
