Job Summary:

We're moving quickly to add an organized and proactive Real Estate Transaction Coordinator to manage our deals from contract to closing. This role involves tracking deadlines, coordinating with all parties involved in a transaction, and keeping every file complete and up to date. The ideal candidate has real estate transaction experience and thrives on staying ahead of details.

Key Responsibilities:

• Manage real estate transactions from contract execution through closing
• Track key deadlines, including inspection periods, contingencies, and closing dates
• Coordinate with agents, buyers, sellers, lenders, escrow, and title companies
• Prepare, review, and organize transaction documents and contracts
• Maintain accurate records in the transaction management system
• Schedule inspections, appraisals, and closing appointments
• Provide regular status updates to all parties involved in the transaction
• Ensure compliance with brokerage and regulatory requirements
• Maintain organized digital files for each active transaction

Mandatory Skills:

• Proven experience as a real estate transaction coordinator or in real estate administrative support
• Familiarity with transaction management platforms (e.g., dotloop, SkySlope, Paperless Pipeline)
• Strong organizational skills with the ability to manage multiple deadlines
• Reliable, detail-oriented, and able to work independently
• Strong communication skills

Preferred Skills:

• Working knowledge of US real estate contracts and terminology
• Experience with MLS systems
• Familiarity with real estate CRMs (e.g., Follow Up Boss, kvCORE)
• Prior experience supporting US-based agents or brokerages
• Ability to manage multiple projects simultaneously
