The Immigration Administration Associate (IAA) supports the Immigration Team in the delivery of Australian immigration and visa services. The IAA is responsible for administrative, case preparation, document management and liaison duties, together with other assigned responsibilities across the Immigration Team’s caseload. You will have regular contact with visa applicants, relocating employees and Sirva’s suppliers and will work closely with internal stakeholders, including Immigration Advisors and Registered Migration Agents, as an integral part of the service delivery team.
The IAA are expected to have practical experience supporting Australian immigration matters, with knowledge and/or experience in processing Australian visa applications, including Subclass 400, Subclass 600, Subclass 482 and Subclass 186 visas. This includes supporting application preparation, document collection and review, lodgement activities, case updates and follow-up activities under the direction of the relevant Immigration Advisor or Registered Migration Agent.
The IAA must have experience working in a fast-paced office environment and be able to manage multiple tasks and competing deadlines while maintaining a high level of accuracy and attention to detail. The role requires strong case-processing and organisational skills, the ability to work effectively within established processes and SLAs, and an in-depth working knowledge of Microsoft Office applications, particularly Word, Excel and Outlook.
In this role, you will:
- Candidates must have demonstrated experience supporting Australian visa applications, with exposure to Subclass 400, Subclass 600, Subclass 482 and/or Subclass 186 visas highly regarded.
- Case Administration – Setting up and invoicing files on CRM, processing PRFs and supplier invoices, updating status milestones, uploading and organising all case documents, and assisting Immigration Specialists with administrative SE updates.
- Stakeholder Communication, Lodgement & File Support – Contacting visa applicants to collect details, confirm contact information, and follow up outstanding documents; coordinating nomination and visa lodgement; preparing approval and closure emails; and closing files on CRM.
- Document Drafting & Application Preparation – Drafting Letters of Engagement (LOEs), PC instruction emails, visa applications, and supporting submissions using approved templates; amending forms following Consultant/Agent mark-up; all within the SLA timeframes defined in the process map.
- Provide administrative and case preparation support for Australian visa matters, including Subclass 400, Subclass 600, Subclass 482 and Subclass 186 applications. This includes preparing application forms and supporting documents in accordance with Immigration Consultant/Registered Migration Agent instructions, reviewing documents for completeness, coordinating outstanding information, assisting with nomination and visa lodgements, and maintaining accurate case records and milestones.
- Financial Process Management – Managing certain payments as part of the immigration process and conducting regular credit card reconciliation to ensure all transactions are accurately allocated to individual case files.
- Other responsibilities as necessary to support Operations and Account Manager(s), client and assignee demand.

What You’ll Bring
- Demonstrated ability to consistently meet strict turnaround KPIs.
- Previous experience in Australian immigration/visa processing, preferably with exposure to Subclass 400, 600, 482 and 186 visas.
- Working knowledge of Australian visa application processes, supporting documentation and Department of Home Affairs lodgement requirements.
- Confident and culturally sensitive communicator- ability to liaise effectively with visa applicant’s diverse backgrounds
- Strong attention to the detail – ability to draft submissions and forms accurately according to Immigration Advisors instruction and review incoming visa documents against the relevant advice
- Review documents and questionnaires completeness; identify outstanding items and promptly elevate concerns to the supervising consultant/agent.
- Disciplined approach to saving, naming, and organising all documents and correspondence from first contact through to file closure
