POSITION SUMMARY:

The Events & Operations Manager reporting to the Executive Director of ULI Philippines, will work in close coordination with national council members, administer all aspects of coordinating programs and developing marketing and communications plans for membership involvement and sponsorship support toward the advancement of goals and objectives of the national council. The Manager will maintain a close working relationship with the Executive Director for local reporting and responsibilities. The Manager works directly with ULI members and vendors, especially the Executive Director, the Philippines Chair, members of the ULI Philippines Executive Committee, and members of committees.

ULI is one of the world's most respected and diverse organisations in the field of development, land use, and urban planning. Established in 1936, the Urban Land Institute is a not-for-profit education and research body with over 48,000 members across the globe, more than 3,000 in APAC. The mission of ULI is to provide leadership in the responsible use of land and in creating and sustaining thriving communities worldwide.

ULI Philippines has over 180 members from both the private and public sectors, encompassing all disciplines in the real estate industry. Each year, ULI Philippines hosts a variety of high-quality events, including 3-4 major annual events, to share global best practices.

Apart from providing high-level administrative support in managing day-to-day operations, this role involves managing schedules, coordinating meetings, handling correspondence, and ensuring efficient operation of the office. The ideal candidate is highly organized, detail-oriented, and capable of handling multiple tasks with discretion and professionalism.

Committee Management and Administration

  • Manage the range of administrative activities in close coordination with the Executive Director, required for ULI Philippines.
  • Coordinate ULI Philippines Executive Council Meeting, and other sub-committee and Product Council meetings.
  • Take minutes and distribute minutes of ULI Philippines Executive Council meetings and sub-committee meetings.
  • Act as the primary point of contact for member/customer inquiries and manage the ULI Philippines mailboxes and general correspondence.

Membership

  • Manage the membership database and report membership status.
  • Assist the Executive Director in building a strong member community by nurturing a good understanding of the membership base, ULI's value proposition, mission and mission priorities, and member outreach.
  • Work closely with the Executive Director in member retention, recruitment, and engagement.
  • Maintain regular communications with ULI Philippines corporate partners and sponsors.

Marketing and Communications

  • Primary responsibility of delivering membership and event/program marketing campaigns, under the guidance of the Executive Director.
  • Ensure all the marketing and communications channels are updated in a timely manner with the latest information on events, programs, and council development.
  • Manage, create content, and update ULI Philippines's marketing and communications channels, including, but not limited to, the local council website, social media channels, email marketing campaigns, newsletters, media releases.

Event and Programme Management

  • Manage, in close coordination with the Executive Director and Chair, the planning and implementation of the national council's program of work.
  • Develop and maintain program and events calendar.
  • Oversee all logistics for securing speakers, venues, vendors, on-site staffing, handling transportation, print and digital marketing collateral, photography, audiovisual, signage, and insurance, etc., for programs and events.
  • Manage all budgets and track expenses and revenues for programs, events, sponsorships, etc. Is responsible for coordinating small and large networking and educational programs/events.
  • Database management, ensure all event data is entered into the system backend.
  • In collaboration with ULI Asia Pacific, support preparation and analysis of event reporting.

Financial

  • Manage all budgets and track expenses and revenues for the national council.
  • Support the Executive Director in the budget planning process.
  • Handle all related financial and administrative tasks.
  • Create invoices in ULI system for sponsorships and events. Keep track of payment status of the invoices and follow up on outstanding payments.
  • Work closely with the Asia Pacific team on payment arrangements for local vendors.

Others

Skills:

  • Good track record in marketing and communications, especially in digital and social media campaigns.
  • Excellent English writing skills to create marketing and communications content.
  • Self-motivated and highly organized, demonstrating meticulous attention to both details and deadlines.
  • Ability to prioritize tasks and work in a multi-tasking environment and in a small team.
  • Excellent project management skills.
  • Strong sense of ownership and accountability to handle assignments and projects, follow through, and deliver results as planned.
  • Resourceful and creative in finding solutions to problems.
  • Fluency in English with strong interpersonal skills to work with senior business and public sector executives.
  • Flexibility in working hours. Able to attend early morning and evening events if required.
  • Experienced in working with and managing volunteers is preferred.
  • Ability to identify real estate trends and give ideas/recommendations for events and programmes is a plus.
  • Proficient computer skills in Microsoft Office including Word, Excel, Outlook, and PowerPoint are a must.
  • Knowledge of Photoshop or graphic design skills is a plus.
  • Some travel may be required.

Qualifications:

  • 5 years or above related work experience in business administration, event management, project management, customer service.
  • Diploma or above qualification is required, preferably majoring in business & administration, or marketing. Consideration will be given to urban planning, real estate development, or similar.
