Position Summary
The Clinical Task Coordinator (CTC) plays a crucial role in streamlining communication and coordination across various departments in a healthcare setting. They manage clinical tasks through the EHR system, oversee medication prior authorizations, and handle patient phone calls or inquiries, directing them to the appropriate staff. This role ensures efficient workflow between clinical, administrative, and billing teams, contributing to the seamless delivery of patient care.
Key Responsibilities
- Task Management Across Departments:
- EHR Task Management: Manage and monitor clinical tasks from various departments through the Electronic Health Record (EHR) system, ensuring that all necessary actions are taken in a timely manner. This includes coordinating with clinical staff, administrative teams, and providers to ensure that workflows are smooth, and tasks are completed accurately.
- Medication Prior Authorization:
- Initiate Prior Authorizations: Manage the process of obtaining prior authorizations for medications, working closely with insurance companies, healthcare providers, and patients to ensure necessary approvals are obtained before medications are prescribed.
- Track and Follow-Up: Keep track of all medication prior authorization requests, ensuring timely follow-ups and resolution of any issues or denials to avoid treatment delays.
- Patient Phone Calls and Communication:
- Answer Patient Inquiries: Manage incoming patient calls, addressing concerns or transferring them to the appropriate clinical or administrative personnel as needed. Assist patients with appointment scheduling, follow-up care instructions, and other non-clinical inquiries.
- Facilitate Office Communication: Function as a liaison between patients and clinic staff, ensuring that patients' needs are addressed and facilitating timely communication between patients and healthcare providers.
- Document Management:
- Maintain Accurate Records: Ensure that patient records are up to date in the EHR, including documenting interactions, authorizations, appointment details, and medication requests.
- Ensure Compliance: Ensure all processes related to medication prior authorizations, patient communications, and interdepartmental task management comply with clinic policies and healthcare regulations (e.g., HIPAA).
- General Office Support:
- Schedule and Confirm Appointments: Assist with scheduling patient appointments, following up to confirm attendance, and coordinating with providers to ensure availability.
- Coordinate with Providers and Staff: Relay necessary information between providers, patients, and administrative teams to ensure smooth patient care and clinic operations.
- Other Duties:
- Perform additional tasks and responsibilities as assigned by supervisors or providers.
- Adapt to changing clinical demands while maintaining high standards of patient care.
Qualifications:
- College Graduate of any 4 years course
- Ideally with at least Medical Assistant background.
- Knowledge of the medication prior authorization process, including initiating requests and working with insurance companies.
- Proficiency in using EHR systems to manage and monitor clinical tasks, maintain patient records, and document interactions.
- Familiarity with tracking systems to monitor the status of prior authorization requests.
- High level of accuracy in maintaining patient records and ensuring compliance with healthcare regulations.
- Ability to resolve issues related to medication prior authorizations and patient communications.
- Diligence in tracking and following up on medication prior authorization requests.
- Strong interpersonal skills to function as a liaison between patients, clinical staff, and administrative teams.
- Exceptional verbal and written communication skills for managing patient inquiries and facilitating office communication.
