About the Role:
The Executive Assistant to the Head of the Enterprise Management Office (EMO) plays a critical support role in enabling the efficient and effective execution of the office's strategic, governance, and operational oversight functions. This position requires a highly organized and proactive individual who can manage executive-level communications, ensure smooth coordination across various departments, and support the Head of EMO in driving key initiatives aligned with enterprise-wide goals.
This role serves as a vital link between the EMO Head and internal/external stakeholders, ensuring that priorities are well-managed and information is communicated accurately and promptly.
What you'll do:
1. Executive and Administrative Support
Manage the calendar, appointments, and travel arrangements of the Head of EMO, ensuring optimal time management.
Draft, review, and organize memos (MFA - Memorandum for Approval), reports, presentations, and other documents required by the EMO Head.
Handle correspondence and ensure timely responses to internal and external communications.
Track and process expense reports, monitor budgets, and handle financial administrative tasks.
Maintain organized filing systems for easy retrieval of key documents.
Serve as the main point of contact between the EMO Head and internal departments, as well as external stakeholders.
Coordinate schedules, meetings, and communication flow across various departments to support enterprise-wide initiatives.
Record, prepare, and circulate minutes of meetings, including key decisions and action items.
Support the tracking and follow-up of enterprise-level projects and strategic initiatives.
Coordinate with various business units to gather updates, documentation, and reports required by the EMO.
Maintain updated records and ensure deadlines and deliverables are monitored and met.
Assist in preparing materials and documentation related to enterprise planning, compliance, risk management, and governance.
Monitor follow-through on action items from enterprise-level meetings, ensuring alignment with organizational goals.
Support the Head of EMO in organizing and coordinating committee meetings, workshops, and strategic sessions.
Undertake special assignments and one-off projects as assigned by the Head of EMO to support enterprise goals.
Provide flexible support in addressing emerging priorities and operational needs of the office.
What we're looking for:
Bachelor's Degree in Business Administration, Management, Finance, Public Administration, or any related field.
Minimum of 3 years' experience in an Executive Assistant or similar administrative support role, preferably supporting C-level or senior leadership.
Strong organizational and project coordination skills, with the ability to multitask and prioritize under tight deadlines.
Excellent verbal and written communication skills, capable of interacting effectively with all levels of the organization.
Proficient in Microsoft Office applications (Word, Excel, PowerPoint), Google Suites, and other productivity tools.
Discreet and trustworthy, with proven ability to handle confidential and sensitive information with integrity.
Strong attention to detail, accuracy, and proactive problem-solving abilities.
Possesses strong emotional maturity especially in dealing with complex situations and tasks
Experience supporting senior leadership and navigating a professional, fast-paced environment.
Demonstrates the ability to work within a structured, high-integrity organization and uphold confidentiality, professionalism, and responsiveness aligned with enterprise values.
