Cluster Head for Operations

Manages operations performance in a territory composed of several branches ensuring that revenue & profitability goals are achieved through consistent implementation of standard operating procedures and policies.

Responsible for overseeing all pillars of branch operations ensuring that each location is running smoothly and effectively in the assigned territory.

Duties and Responsibilities:

• Inventory Management
• Ensures that all inventory KPIs are delivered.
• Checks & monitors compliance on inventory checklist procedures in all locations.
• Reviews all inventory results. Investigate and recommend charging if variances are proven due to negligence and improve processes to mitigate variance occurrences.
• Devises ways to optimize inventory control procedures.
• Anticipates product demand per branch based on programs and/or market need and initiates product delivery request from supply chain.

Warehouse and Space Management

Ensures that every branch has approved planogram and are always complied in both Selling & Warehouse areas, such as but not limited to:

• No stocks placed outside the Selling & Warehouse areas.
• All gondolas and warehouse racks are fully and properly filled up with stocks.
• Strictly follows the product merchandising guidelines to minimize bad stocks.
• Reinforces policies and procedures on product stocking, FIFO/FEFO, 5S and good housekeeping.

Branch Security and Safety

Ensures all branches are always following the standard branch security and safety requirements and protocols.

• Perform store visit checklist ensure that all areas are checked properly.
• Ensure all branch facilities are working and functional such as safety vault, locks and roll up, etc.
• Recommends improvement and/or repair, if necessary.

POS Management and IT Coordination

Reinforce that standard SLAs in invoicing, payment and dealer registration are strictly followed.

• Report and coordinate to IT partners all irregularities in the system such as, system lagging & issues & downtime.
• Works with HR and ensure system access for newly hired staff.

Dealer Incentives and Programs

Mastery of Monthly Volume Discount computation.

• Availability of at least two (2) local delivery partner per branch.
• Ensures that dealers rewards are released on time.
• Understands and executes all promo and ensure that proper guidelines are cascaded, understood and implemented in all branches.
• Reinforce dealer experience standards, covering product quality, service quality including the transaction flow and speed.

Cash and Funds Management

Ensures that all Supervisors are compliant with collections protocol from turnover of the Customer Retention based on guidelines.

• Approves all liquidations, cash advances and reimbursements within 24 hours from filing.
• Thorough checking of all branch liquidation attachments such as Official Receipts, Attendance Sheets, Icheck file and other supporting documents.
• Monitor fund usage versus numbers of transacting dealers and request for increase or decrease if needed.
• Investigate and report any losses of funds and cash collections to Audit.

Training and Development

Conducts at least once a month coaching session to Supervisors, Warehouse Custodian and Warehouse Assistant during branch visit.

• Ensures proper training, application of buddy system and on-boarding assessment of newly hired staff under branch operations.
• Succession planning - Provide developmental projects to assume positions for possible future vacancies.
• Performance Improvement Plan amongst subordinates.

Job Qualifications:

• Preferably a graduate of Industrial Engineering, Accounting, Finance, or other analogous courses.
• With more than 5 years of related working experience in process improvement, project management, people management, business operations and direct selling, retail or FMCG.
• With a Driver's License and can drive light vehicles.
• Good oral and written communication, fluent in English and one Philippine dialect.
