Job Description
Essential Duties and Responsibilities:
- Process the onboarding of subcontractors, ensuring they are added to all relevant payroll systems.
- Ensure all subcontractors on job sites are logging their hours in the timekeeping system.
- Manage timekeeping systems and perform daily checking of hours for all subcontractors.
- Liaise with subcontractors to ensure timely submission of their invoices on a weekly basis.
- Assist in reviewing weekly invoices from subcontractors, flagging any discrepancies between hours extracted from the system and hours billed.
- Manually enter data from invoices and the timekeeping system into relevant trackers and input this data into Xero for payroll manager approval.
- Submit a comparative report of subcontractors' billed hours versus timesheet hours to site managers, project managers, and/or construction managers for confirmation and approval.
- Inform subcontractors of their approved hours, including the amount and date of payment, while also addressing any discrepancies between their invoiced hours and timesheet hours. Advise them to revise their invoices based on the managers' approved hours.
- Respond to subcontractor queries via phone and email, providing necessary information and support.
- Perform other duties as assigned by the Operations, Accounting, or Payroll Manager.
Knowledge, Skills & Abilities:
- Must have excellent English communication skills (written and oral).
- Intermediate to advanced Excel skills are required.
- Knowledgeable in AU Payroll is preferred but not required.
- Customer service-oriented person who focuses on quality communication and attention to detail.
- Must be critical in determining payroll errors and resolving discrepancies.
- Able to maintain a high level of accuracy in preparing and entering payroll information into relevant payroll/accounting software.
- Knowledgeable in preparing basic payroll/administrative reports.
- Willingness to contribute above daily tasks to help the company in meeting deadlines.
Work Schedule (Dayshift)
- Monday to Friday (6AM-3PM; Manila Time)
Work Setup (Onsite)
- Onsite work
- Equipment will be provided by the company.
- UP AyalaLand TechnoHub, Quezon City.
