Duties and Responsibilities
Greet and assist visitors, clients, suppliers, contractors, and employees in a professional and courteous manner.
Receive, screen, and direct incoming telephone calls, messages, and inquiries to the appropriate department or personnel.
Manage and maintain the reception area to ensure cleanliness, orderliness, and professionalism.
Maintain an accurate record or logbook of visitors, including their purpose of visit and concerned personnel.
Coordinate with concerned employees regarding scheduled visitors, meetings, appointments, and site visits.
Receive and properly route incoming documents, letters, parcels, deliveries, and other communications.
Assist in receiving and directing applicants, guests, contractors, and other individuals visiting the company premises.
Provide basic information regarding company procedures, office locations, schedules, and other authorized inquiries.
Manage incoming and outgoing correspondence and ensure proper distribution to concerned personnel.
Assist in scheduling meetings, appointments, and use of conference or meeting rooms when required.
Monitor and maintain office supplies and request replenishment when necessary.
Provide administrative assistance such as encoding, filing, photocopying, scanning, printing, and preparation of documents.
Coordinate with security personnel regarding visitor access, identification, and entry procedures.
Ensure that visitors comply with company safety, security, and site access requirements.
Maintain confidentiality of company records, documents, communications, and information.
Assist in coordinating employee and visitor requirements during meetings, orientations, trainings, and company activities.
Report unusual incidents, unauthorized visitors, complaints, or other concerns to the immediate supervisor.
Provide courteous and professional customer service to clients and other stakeholders.
Support other administrative and office management activities as assigned.
Perform other related duties and responsibilities as may be assigned by the immediate supervisor.
Qualifications
At least Senior High School Graduate, College Level, or College Graduate, preferably in Business Administration, Office Administration, or a related field.
Preferably with 1 year of experience in reception, customer service, administrative support, or a similar position.
With good verbal and written communication skills.
Proficient in basic computer applications such as Microsoft Word, Excel, email, and other office systems.
Professional appearance and good interpersonal skills.
Customer-service oriented, courteous, and approachable.
Organized, detail-oriented, and able to handle multiple tasks.
Trustworthy and capable of maintaining confidentiality.
Willing to work in an office and water infrastructure operational environment.
